Our Prospect
The Operations Support Officer reports to the Director of Finance and Operations and provides a range of executive and office support services to the Finance and Operations team at the Australian Law Reform Commission (ALRC). This includes managing executive diaries, stakeholder engagement, travel arrangements, event coordination, office logistics, human resources duties, and day-to-day operational needs.
The role demands excellent organisational and stakeholder management skills, and the ability to manage competing priorities while maintaining a high standard of professionalism and confidentiality.

We seek a candidate passionate about working in a hands-on, highly varied and proactive role, operating in a fast-paced and agile environment.
Key Responsibilities:
The role will be responsible for:
- Finance, payments and procurement support – process invoices and payments, support reconciliations, and maintain core finance trackers/registers and supplier/contract records.
- Office operations (Melbourne & Brisbane) – support smooth day-to-day office functioning (visitors, mail, facilities/building liaison, supplies, shared spaces) and coordinate office communications/updates.
- Registers, records and document control (SharePoint) – maintain operational/staff registers and ensure accurate document storage, naming and version control across relevant libraries.
- People & Culture / HR administration – provide recruitment administration support and coordinate onboarding/offboarding administration and staff record upkeep (e.g., leave calendar, mandatory training records).
- Travel and expenses coordination – arrange staff travel (excluding Executive staff), track costs, and support reimbursements/claims administration.
- Correspondence, operations support and cross-cover – triage shared mailboxes/voicemail, assist with audit/compliance/parliamentary support as required, provide executive and administrative support to the President/Executive Director and backfill the EA role during periods of leave, and undertake other Finance & Operations support tasks as required.
Essential
- Experience undertaking administrative support as an Executive Officer, Executive Assistant or Administrative Officer preferably within an Australian Government agency
Selection criteria
- Strong administrative and operational delivery – demonstrated experience providing high-quality administrative support in a busy environment, managing competing priorities and deadlines with strong attention to detail.
- Finance and procurement administration capability – experience supporting invoice/payment processing, maintaining trackers/registers, general financial administration and coordinating procurement steps while keeping records accurate and compliant.
- Systems confidence (M365/SharePoint)
and document control – proficiency using Microsoft 365 (e.g., Outlook, Word, Excel, Teams) and confidence working in SharePoint/document libraries with consistent naming, version control and secure storage.
- Stakeholder service and communication – well-developed interpersonal and written communication skills, including liaising professionally with internal stakeholders and external suppliers and communicating updates clearly.
- Discretion, reliability and initiative – ability to handle sensitive information with discretion, work independently, anticipate needs and take initiative to resolve issues in a role of trust.
