Operations & Quality Coordinator (NDIS)
Location: Coomera, QLD (Hybrid after successful onboarding)
Employment Type: Permanent Part-Time (approximately 16 hours per week, with opportunity for additional hours as the business grows)
Classification: SCHADS Award – Social & Community Services Employee Level 3
Salary: $40.50–$43.50 per hour (depending on qualifications, experience and classification)

This is not a traditional administration role.
You'll work directly alongside the Director, helping develop the systems, processes and quality framework that support our participants, our team and the future growth of EverythingU.

About the Role
Working closely with the Director, you will coordinate the operational, quality and compliance functions of the organisation.
You will help ensure participant and workforce documentation remains accurate, current and audit-ready while continually improving systems that support safe, person-centred service delivery.
Initially, the role will be based primarily from our office in Coomera to support onboarding and collaboration. As confidence, competence and trust develop, flexible working arrangements, including some remote work, will be available.
Key Responsibilities
Participant Documentation & Quality
- Coordinate participant onboarding.
- Build and maintain participant files.
- Prepare draft care plans, risk assessments and associated documentation for Director review.
- Maintain participant documentation within Visual Care.
- Monitor review dates and ensure documentation remains current.
- Coordinate documentation relating to high intensity supports, delegated health supports and restrictive practices.
- Assist with Positive Behaviour Support Plan (PBSP)
implementation documentation.
- Liaise with Support Coordinators, families, Registered Nurses and allied health professionals to obtain required documentation.
- Prepare participant meeting agendas and record meeting minutes.
Workforce Administration
- Coordinate support worker onboarding.
- Maintain personnel files.
- Monitor mandatory compliance requirements.
- Track qualifications, licences and training renewals.
- Coordinate participant-specific competencies.
- Assist with workforce documentation and compliance.
Quality & Compliance
- Maintain quality and compliance registers.
- Assist with NDIS audit preparation.
- Maintain document control systems.
- Support policy reviews and continuous improvement.
- Assist with developing and improving organisational systems.
- Ensure documentation reflects current legislative and organisational requirements.
Operational Support
- Maintain and improve operational systems, including Visual Care and digital workflows.
- Assist with Jotform development and implementation.
- Prepare professional correspondence and documentation.
- Coordinate administrative activities.
- Assist with operational coordination, including basic rostering responsibilities as delegated.
- Provide administrative support to the Director.

Essential Criteria
- Demonstrated experience working within the NDIS or disability sector.
- Experience maintaining participant documentation, including care plans and risk assessments.
- Understanding of high intensity support documentation, complex health supports, Positive Behaviour Support and restrictive practices.
- Strong understanding of the NDIS Practice Standards and quality requirements.
- Exceptional organisational and time management skills.
- Outstanding attention to detail.
- Excellent written and verbal communication skills.
- Ability to work independently and confidently manage competing priorities.
- High level of computer literacy and confidence learning recent software.
- Experience with Microsoft 365.
- Current Queensland Driver Licence.
- Current NDIS Worker Screening Clearance (Yellow Card).
- Current Blue Card.
- Current First Aid and CPR Certificates.
- Current NDIS Worker Orientation Module Certificate.
- Access to a reliable motor vehicle with comprehensive insurance.
- Full Australian working rights.
Highly Desirable
- Experience using Visual Care.
- Experience preparing for NDIS audits.
- Experience with Jotform or other digital workflow platforms.
- Experience with quality improvement systems.
- Experience supporting participants with complex health or high intensity support needs.

Within your first six months you will have:
- Established organised, audit-ready participant files.
- Maintained compliant workforce records.
- Improved operational systems and documentation processes.
- Assisted the organisation to strengthen quality and compliance.
- Built positive relationships with participants, families and the team.
- Enabled the Director to focus more on leadership, participant outcomes and business growth through effective operational support.
