Position Overview
Together for Humanity is going through an exciting and busy period of organisational change. We are seeking a proactive, adaptable, and highly organised casual Executive Assistant to provide generalist administrative and operational support to the CEO and Leadership Team.
Rather than owning a fixed set of operational domains, this role requires a flexible self-starter who can take on varied tasks as assigned during this dynamic period. The ideal candidate will be adept at taking initiative, and handling everything from day-to-day admin and recruitment assistance to general stakeholder communication. Candidates with specialised experience in bookkeeping or HR administration will have the opportunity to utilise those specific skills to further support the team.
About Together for Humanity
Together For Humanity (TFH) provides educational services primarily for students, teachers and school communities with the goal of increasing intercultural understanding and countering prejudice. We do this via a range of experiential programs and partnership projects within school settings. We partner with schools to convene high quality cross-cultural and inter-faith exchanges that foster goodwill between people of different faiths and cultures.
Key responsibilities
Working directly with the CEO and Leadership Team, you will take on tasks as assigned based on current organisational priorities, which may include:
- Providing responsive, day-to-day administrative support to the CEO and wider Leadership Team.
- Managing complex calendars, scheduling internal and external meetings, and coordinating travel arrangements.
- Assist with coordination of donor and stakeholder communications where required.
- Assisting with general administrative tasks,
drafting correspondence, and preparing meeting materials.
- Supporting communication with the Board, assisting with meeting scheduling, and helping follow up on designated Board action items.
- Assisting with the administrative setup, scheduling, and coordination of internal working groups.
- Coordinate logistics for key meetings and events.
- Providing recruitment administrative support, including scheduling interviews, communicating with candidates, updating tracking systems, and preparing onboarding paperwork for new team members.
Depending on the successful candidate’s specific background and experience, additional support may also be requested in the following areas:
- Bookkeeping & Finance Admin: Assisting with basic financial tasks such as processing invoices, reconciling expenses, data entry, and liaising with external auditors and accountants.
- HR Administration: Supporting routine HR admin processes, maintaining employee records, tracking leave or compliance documentation, and assisting with team onboarding/offboarding tasks.
Skills & Experience
- Proactive Mindset: A self-starter who anticipates needs, takes initiative, and thrives in a fast-paced environment of change.
- Versatile Administrative Background: Proven experience in an EA, PA, or senior admin support role (NFP/charity sector experience is a plus).
- Adaptability & Organisation: Ability to prioritise, juggle diverse tasks across different areas of the organisation, and work effectively under pressure.
- Strong Communication: Clear written and verbal skills with a high level of discretion and professionalism when liaising with internal teams, external partners, and Board members.
- Tech-Savvy: High proficiency in Google Workspace and cloud-based tools (experience with Xero, Board platforms, or HR software is highly desirable).
- Specialised Skills (desirable): Practical experience in bookkeeping, finance support, or HR administration is disirable, though not a requirement.
