Private Energy Partners (PEP) is a dedicated affiliate of Quinbrook, a specialist investment manager focused exclusively on the infrastructure needed to drive the energy transition in Australia, North America and the UK/Ireland. We are specialist project developers, builders, and operators supporting the delivery of creative energy infrastructure solutions that create long-term value for Quinbrook and its many stakeholders. Role Scope:
The Document and Data Systems Officer supports multiple concurrent energy projects including renewable generation, battery energy storage systems (BESS), transmission infrastructure, substations, and large-scale data centre developments. The role is responsible for maintaining the integrity, accessibility, security and governance of information throughout the full project lifecycle - from development and approvals through construction, commissioning, operations and asset handover. This position is integral to ensuring that accurate, controlled information underpins effective decision-making, regulatory compliance and successful project delivery across the organisation.
Role Purpose:
The Document and Data Systems Officer is responsible for managing the company's document control and information management systems to ensure that all corporate and project documentation is accurate, secure, compliant and readily accessible. The role supports the development, construction and operation of renewable energy and energy infrastructure projects by maintaining high-quality data, document governance and digital information systems. The position plays a critical role in ensuring information integrity across project development,
engineering, environmental approvals, commercial transactions, procurement, construction and operations.
Key Responsibilities:
Document Control
Administer the company's Electronic Document Management System (EDMS).
Register, distribute and archive all project and corporate documentation.
Maintain document numbering, metadata, revision control and document status.
Ensure controlled documents comply with company standards and procedures.
Manage transmittals between consultants, contractors, clients and regulatory authorities.
Monitor document workflows and approval processes.
Maintain master document registers. Data Management
Maintain accurate project databases and information registers.
Ensure consistency of project metadata and document classifications.
Monitor data quality and identify inconsistencies.
Produce regular reports on document status and project information.
Support migration and integration of information between systems.
Assist with development of dashboards and reporting tools.
Power BI reporting Systems Administration
Support administration of the following document management platforms: Microsoft SharePoint, Microsoft Teams, Aconex, InEight, Procore
Configure user permissions.
Maintain folder structures.
Support workflow automation.
Assist with software upgrades and testing. Governance and Compliance
Ensure compliance with
- ISO 9001 Quality Management
- ISO 19650 Information Management
- Common Data Environment (CDE) workflows, including WIP, Shared, Published and Archived status gates ISO 27001 Information Security
- Company Information Management Procedures
- Records Retention Policies
- Privacy legislation
- Regulatory document requirements
Conduct document audits.
Maintain audit trails.
Support internal and external audits.
Handle commercially sensitive material, including tender pricing, equipment agreements and partner correspondence, in line with confidentiality requirements.
Project Support
Provide document management support throughout all project phases including:
Site identification
Land acquisition
Environmental approvals
Development approvals
Grid connection
Engineering design
Procurement
Construction
Commissioning
Operations
Asset handover Stakeholder Support
Provide document management training to staff.
Assist consultants and contractors with document submission requirements.
Support project teams with information retrieval.
Liaise with IT regarding systems performance and user support. Key Accountabilities:
