About the Role
An opportunity exists for an experienced Executive Personal Assistant to provide comprehensive business and personal support to a senior executive. This is a high-trust position suited to someone who thrives in a quick-paced environment, anticipates needs before they arise and enjoys bringing order to complex schedules and competing priorities.
You'll play a central role in managing the executive's time, travel, communications and day-to-day operations, ensuring they are well prepared and able to focus on strategic priorities.
Key Responsibilities
- Proactively manage a complex and ever-changing diary across business and personal commitments.
- Coordinate domestic and international travel, including flights, accommodation, transport, itineraries and visas.
- Prepare meeting agendas, papers and briefing materials, and track actions and follow-ups.
- Manage correspondence, emails, appointments and executive administration with discretion.
- Coordinate expenses, invoices and record keeping.
- Act as the key point of contact for the executive, managing requests with professionalism and sound judgement.
- Liaise with internal stakeholders, advisers and external contacts to coordinate priorities and schedules.
- Identify opportunities to improve systems, processes and executive office efficiency.
- Provide responsive support across changing priorities, extended hours and international time zones when required.
- Handle confidential business and personal information with absolute discretion.
About You
You will bring
- Significant experience supporting a Chair, CEO, Founder or other senior executive.
- Proven ability to manage complex diaries and extensive domestic and international travel.
- Experience providing both executive and personal assistance in a high-trust environment.
- Strong organisational skills with exceptional attention to detail.
- Excellent judgement, initiative and problem-solving capability.
- Advanced Microsoft Outlook, Word and PowerPoint skills.
- A calm, adaptable approach and the ability to manage competing priorities.
- Outstanding communication skills and a professional, service-oriented style.
Experience in investment, financial services, resources, listed companies, private offices, family offices or similarly fast-paced environments will be highly regarded.
