Role Description The Legal Practice/Office Administration Assistant Manager is a full-time, on-site role based in Sydney, NSW. This role supports the efficient operation of chambers by coordinating day-to-day administrative activities, including managing reception duties, handling phone inquiries, and maintaining professional communication with barristers, solicitors, clients, and service providers.
The Assistant
Manager will assist with executive-level administrative tasks such as diary management, meeting coordination, document preparation, and confidential file handling.
Responsibilities also include overseeing clerical functions, updating records and databases, supporting billing and invoicing processes, and contributing to the smooth running of office procedures and workflows. The role involves working closely with the Practice Manager and other staff to ensure high standards of service, compliance with office policies, and a well-organized working setting.
Qualifications
Strong Administrative Assistance and Executive Administrative Assistance skills, including scheduling, document preparation, and confidential file management.
Professional Phone Etiquette and Communication skills,
with the ability to interact courteously and clearly with legal practitioners, clients, and stakeholders.
Sound Clerical Skills, including data entry, record keeping, filing, and basic office systems maintenance.
Prior experience in a legal, professional services, or corporate office environment, preferably in an administrative or coordination role.
Excellent organizational and time-management abilities, with attention to detail and accuracy.
Proficiency with common office software (e.g., Microsoft Office suite) and willingness to learn chambers-specific systems.
Ability to work collaboratively within a small team and to exercise initiative with minimal supervision.
Relevant vocational qualifications or tertiary studies in business administration, legal administration, or a related field are advantageous.
Who we are looking for The successful candidate will have experience in the legal industry and an understanding of the work of barristers, ideally with experience as a legal assistant in litigation or office manager of a law firm. You will have excellent IT skills, ideally with the ability to assist barristers in ad hoc IT issues. You will have experience organising and coordinating large social events for up to 150 people.
We are a collegiate chambers with a small group of staff. You will be able to work effectively and collaboratively with the Head Clerk and Office Manager as well as junior staff. You will have excellent organisational and communication skills and be able to manage multiple priorities effectively and efficiently.
