Introduction

Position: Operations Administrator

Location: Remote (South Africa)

Work Hours: 07:00 – 15:00 AEST

Role Type: Remote, Full-Time

Reports To: Management Team / Operational Leadership

Salary: R20, 000 per month (non-negotiable)

Position Overview:

The Operations Administrator is responsible for supporting the day-to-day operational, administrative, and coordination functions of the business.

This role plays a critical part in ensuring that systems, processes, scheduling, financial administration, and operational workflows are managed efficiently and accurately.

The successful candidate will be highly organised, detail-oriented, and capable of managing multiple priorities simultaneously.

They will work closely with management and operational teams to ensure seamless business operations, accurate record-keeping, and effective coordination across various functions.

Duties & Responsibilities

Operations & Administrative Support

- Provide comprehensive operational and administrative support to the business.
- Coordinate daily operational activities and ensure tasks are completed within required timeframes.
- Maintain operational records, documentation, and business systems.
- Assist with workflow management and process coordination across departments.
- Support management with reporting, administration, and operational projects.

Scheduling & Job Coordination

- Manage and coordinate job scheduling, resource allocation, and calendar management.
- Monitor work schedules and ensure tasks are assigned and completed efficiently.
- Coordinate with internal teams, contractors, suppliers, and service providers.
- Track job progress and ensure operational deadlines are met.




- Maintain scheduling systems and provide updates to management as required.

Financial & Accounts Administration

- Assist with invoicing, expense management, and financial administration.
- Process and reconcile financial transactions accurately.
- Support accounts payable and accounts receivable functions.
- Maintain accurate financial records and documentation.
- Assist with month-end administrative and reporting activities.

System & Database Management

- Maintain and update operational databases, CRM systems, and business records.
- Ensure information is accurate, complete, and up to date.
- Generate operational reports and provide management with regular updates.
- Support the implementation and maintenance of operational systems and processes.

Stakeholder Coordination

- Liaise with clients, suppliers, contractors, and internal teams.
- Ensure timely communication and follow-up on operational matters.
- Assist with resolving administrative and operational issues.
- Maintain professional relationships with all stakeholders.

Reporting & Continuous Improvement

- Prepare operational reports and performance summaries.
- Identify opportunities to improve administrative efficiency and operational processes.
- Assist in developing and maintaining standard operating procedures.




- Support quality control and compliance initiatives where required.

Desired Experience & Qualification

Qualifications & Experience:

- 3–5+ years' experience in an Operations Administrator, Operations Coordinator, Office Administrator, or similar role.
- Strong administrative, scheduling, and operational coordination experience.
- Experience supporting business operations in a fast-paced environment.
- Excellent organisational and multitasking abilities.
- Robust attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.

Advantageous Experience

- Experience within the Hospitality, Hotel, Accommodation, Property Management, Facilities Management, or Service-Based sectors.
- Experience working with Xero accounting software.
- Familiarity with Property Management Systems (PMS) or similar operational platforms.
- Experience coordinating job scheduling, resource planning, or service delivery operations.
- Exposure to financial administration, invoicing, and operational reporting.
- Experience working within remote or distributed teams.
