Are you an experienced financial planning operations or practice manager looking for a flexible part time role where you can genuinely improve how a business runs?

My Plan Financial is a growing Sydney based financial advisory firm supported by a dedicated team of paraplanners, onboarding specialists and implementation staff.

We are seeking an organised and commercially minded Operations Manager to coordinate workflows, manage the offshore team and help streamline service delivery.

This role is ideal for someone who enjoys improving processes, managing people remotely and ensuring Advisors can focus on advice not administration.

What you will be doing:

You will act as the operational link between Advisors and the back office team.

Core responsibilities include

 Managing workflow allocation across paraplanning, onboarding and implementation teams.

 Monitoring turnaround times and job progress.

 Liaising daily with offshore staff.

 Conducting performance check-ins and maintaining accountability.

 Ensuring advice files progress smoothly from Fact Find, SOA, Implementation and Ongoing

Service.

 Identifying bottlenecks and improving processes.

 Maintaining operational dashboards and reporting.

 Supporting compliance and file quality standards.

 Documenting and improving procedures.

 Acting as the first escalation point for Advisors.

About You





You understand how a financial planning practice actually runs, not just theory.

We are looking for someone who has:

 Experience in a financial planning firm (essential).

 Strong knowledge of paraplanning and implementation workflows.

 Experience coordinating staff or teams (remote/offshore experience highly regarded).

 Excellent organisation and follow through.

 Confidence holding staff accountable and managing deadlines.

 A process-improvement mindset.

We will highly regard the following:

 Practice Manager or Operations Manager background.

 Experience with Xplan or similar CRM systems.

 Understanding of compliance and file standards.
