As our business continues to grow, we're looking for an experienced Office Manager to play a key role in supporting our Managing Director, Executive Leadership Team and the day-to-day operations of our head office.
Responsibilities
- Provide high-level confidential administrative and executive support to the Managing Director and Executive Leadership Team
- Manage the Managing Director's calendar, meetings, travel arrangements, correspondence and daily priorities to ensure efficient time management
- Coordinate executive meetings, including scheduling, agendas, minutes, action items and meeting logistics
- Oversee the day-to-day operations of the office, ensuring a professional, organised and efficient workplace
- Act as the face of the business by managing reception,
welcoming visitors and clients, handling incoming calls and delivering exceptional front-of-house service
- Coordinate office facilities, supplies, equipment, contractors and service providers to ensure the office operates smoothly
- Plan and coordinate internal meetings, company events, workshops, travel arrangements and employee engagement activities
- Prepare, format and maintain business documents, reports, presentations, correspondence and company records while maintaining confidentiality
- Provide administrative support across the business, including onboarding activities, document management and assistance with business improvement initiatives
- Build positive relationships across the organisation and proactively identify opportunities to improve office systems, processes and overall operational efficiency
Skills & Experience
- 2-5 years’ experience as an Executive Assistant, Office Manager or in a similar role
- Experience within the mining, resources, engineering or construction industry
- Outstanding organisational and time management skills
- Excellent written and verbal communication skills
- Strong attention to detail and the ability to manage competing priorities
- A high level of professionalism, discretion, and confidentiality
- A proactive, adaptable and solutions focused approach
