About the Role
About the Role:
We are a busy developmental paediatric clinic providing assessment and ongoing care for children with neurodevelopmental conditions. We are seeking an organised and compassionate Clinic Coordinator to support the smooth day-to-day running of the clinic and ensure a high standard of patient care.
This is the full time position.
Key Responsibilities
- Manage patient appointments, including scheduling, rescheduling, and waitlist coordination
- Liaise with parents, carers, schools, GPs, and allied health professionals
- Process referrals, clinical correspondence, and reports
- Coordinate pre-assessment documentation (questionnaires, school reports, etc.)
- Handle billing, invoicing, Medicare claims, and fee enquiries
- Maintain accurate and up-to-date patient records in the clinical system
- Support clinicians with administrative tasks and clinic flow
- Respond to phone and email enquiries in a professional and timely manner
- Assist with care coordination and transition of care where required
- Ensure compliance with privacy, confidentiality,
and clinic policies
What We're Looking For
Key Skills and Experience:
- 2 -3 years previous experience in a medical or allied health administrative role (paediatric or specialist clinic preferred)
- Strong organisational and time management skills
- Excellent communication and interpersonal skills
- Ability to manage sensitive situations with empathy and professionalism
- Familiarity with Medicare billing and medical software systems
- High attention to detail and ability to multitask in a fast-paced environment
- Desirable:
- Experience working with children with ADHD, ASD, or other developmental conditions
- Understanding of referral pathways and multidisciplinary care
- Knowledge of NDIS processes (if applicable)
- Knowledge of PMS such as Genie, Best Practice, Gentu and Halaxy
