Executive Assistant to Manufacturing Director

Maternity Leave Contract | 9 - 12 Months | Potential Ongoing Opportunities

About the Role

We are seeking a highly organised, professional and personable Executive Assistant to support the Manufacturing Director at Riviera Australia.

This position is being offered as a maternity leave contract, commencing in August. The contract is expected to run for approximately 9 to 12 months, with the possibility of extension or ongoing opportunities for the right candidate, subject to performance and business requirements.

As the right-hand support to the Manufacturing Director, you will play a key role in managing day-to-day priorities, streamlining communication, preparing reports, coordinating meetings and supporting a dynamic manufacturing leadership team.

This role would suit someone who thrives in a fast-paced environment, can anticipate needs, enjoys variety and takes pride in delivering high-quality administrative and executive support.

Key Responsibilities

- Prepare and edit high-quality correspondence, presentations, reports and other key documents.





- Prepare weekly management reports and assist in developing Excel-based reports and dashboards.

- Manage communication and build strong relationships with internal and external stakeholders.

- Code invoices, reconcile expenses and assist with related financial documentation.

- Attend meetings, take accurate minutes and track follow-up actions.

- Organise travel arrangements, including flights, accommodation and itineraries.

- Coordinate staff events, including planning, catering and execution.

- Provide occasional ad hoc executive and personal administrative support as required.

- Maintain confidentiality and professionalism at all times.

- Maintain office and kitchen supply inventory, including placing orders as required.

- Perform a variety of administrative tasks to support the Manufacturing Director and broader team.

Skills and Experience

To be successful in this role, you will ideally bring:

- Previous experience as an Executive Assistant, Personal Assistant or senior administrator.

- Advanced Microsoft Excel skills, including formulas, pivot tables and data presentation.

- Strong proficiency across Microsoft Office, including Word, PowerPoint, Outlook and Teams.





- Excellent organisational skills and the ability to manage multiple priorities.

- Strong written and verbal communication skills, with a high level of professionalism.

- Confidence working with senior leaders and internal stakeholders at all levels.

- A proactive, positive and solutions-focused approach.

- Robust attention to detail and the ability to work with urgency when required.

- A high level of discretion, confidentiality and ownership.

About You

You will be a confident and capable Executive Assistant who enjoys being the person others can rely on. You are organised, approachable, adaptable and able to stay calm under pressure.

You will enjoy working in a busy manufacturing environment where no two days are the same. You will be comfortable balancing planned tasks with changing priorities and will take pride in supporting a high-performing leadership team.

A genuine interest in boats, marine activities or manufacturing would be highly regarded. We would love to hear about this in your cover letter.
