Operating across 15 locations throughout WA, we provide a range of disability support services, accommodation services, community programs and employment services that empower people to achieve their goals and build meaningful lives.

We are seeking an experienced, highly organised and proactive Executive Assistant to provide executive, governance and operational support to our Chief Executive Officer and Executive Team.

This is a pivotal role that sits at the heart of the organisation, supporting strategic priorities, governance activities, executive operations and key organisational initiatives.

The Role

Reporting directly to the Chief Executive Officer, the Executive Assistant provides high-level executive, governance and operational support across the organisation. Acting as a trusted partner to the CEO and Executive Team, this role facilitates effective communication, coordination and follow-through between the Executive Team, Board of Directors, internal stakeholders and external partners.

The Executive Assistant plays a pivotal role in supporting Board and committee governance, strategic initiatives, organisational projects, executive communications, and document management processes. This position requires a proactive, highly organised professional who can manage competing priorities, exercise sound judgement, maintain absolute confidentiality and build strong working relationships across all levels of the organisation.

This is a part-time position working 25 hours per week, generally across Monday to Friday, with commencement between 8:30am and 9:00am and finish times between 2:00pm and 2:30pm. Flexibility in start and finish times may be considered for the right candidate. The role may also require attendance at Board of Directors meetings and other governance-related meetings from time to time, including approximately one Board meeting per month that may occur outside standard business hours. Where attendance outside normal working hours is required,



these hours will form part of the employee's contracted 25 hours per week, with work schedules adjusted accordingly.

Key Responsibilities:

Executive & Governance Support

- Prepare Board papers, executive reports, agendas, presentations and governance documentation.

- Support Board, committee and executive meetings, including minute taking and action tracking.

- Coordinate executive calendars, meetings and stakeholder engagements.

- Manage executive correspondence and communications.

Strategic & Project Coordination

- Support the implementation and monitoring of organisational priorities and strategic initiatives.

- Maintain project plans, action registers and reporting frameworks.

- Coordinate follow-up actions and ensure deliverables remain on track.

Stakeholder Engagement

- Act as a key liaison between the CEO, Executive Team, Board members and external stakeholders.

- Build and maintain effective working relationships across the organisation.

- Manage complex enquiries professionally and confidentially.

Document Control & Systems Management

- Coordinate organisational document reviews and approvals.

- Maintain SharePoint document control and version management processes.

- Ensure governance, compliance and organisational records remain current and accessible.

- Support management systems, compliance monitoring and continuous improvement processes.

Operational Support

- Coordinate leadership meetings, workshops, offsites and organisational events.

- Support day-to-day business operations and cross-functional collaboration.

- Assist with travel arrangements, executive administration and meeting logistics.

What you’ll Bring:

Qualifications & Licences

- Experience working within the disability, community services or not-for-profit sector.

- Tertiary qualification in Business Administration or a related discipline.

- Demonstrated experience supporting Boards and/or governance committees.

- National Police Clearance.

- NDIS Worker Screening Check.

- Current WA C Class Driver's Licence.

Skills & Knowledge

- Proven experience providing executive support at a senior leadership level.





- Experience supporting Boards, governance committees or executive teams.

- Exceptional organisational and time-management skills.

- Strong report writing, minute taking and document preparation experience.

- Advanced Microsoft Office and SharePoint skills.

- Excellent interpersonal, written and verbal communication skills.

- Strong project coordination and stakeholder management capabilities.

- A proactive, solutions-focused approach with the ability to anticipate needs and manage competing priorities.

- High levels of professionalism, integrity and confidentiality.

Experience

- Proven experience supporting Leadership Teams.

- Experience supporting Board and committee governance processes, including meeting administration and reporting.

- Experience managing organisational records, document control systems and business improvement processes.
