Business Operations Coordinator (Part-Time 0.5 FTE)

Group Training Australia (SA) Inc, trading as the Apprentice Employment Network (SA) (AEN SA) is seeking a motivated Business Operations Coordinator to join our small, collaborative team. This is a fantastic opportunity to work across Business Operations, Projects, Events, Communications and Stakeholder Engagement while enjoying the flexibility of working from home.

About the Role
Reporting directly to the Executive Officer, this is a diverse and rewarding position supporting the day-to-day operations of AEN SA while coordinating key projects and initiatives.
You'll play an integral role in ensuring our organisation runs smoothly by supporting business administration, coordinating industry events, managing projects, engaging with members and stakeholders, and assisting with marketing, communications and governance activities.
This role is ideal for someone who enjoys variety, takes initiative and wants to be part of an organisation that supports apprenticeships, traineeships and workforce development across South Australia.
Position Details
· Part-Time (0.5 FTE – 19 hours per week)
· Three days per week (Monday, Wednesday & Thursday)
· Work from home (Metro Adelaide preferred)
· Reports to the Executive Officer
· Occasional travel within South Australia for events and meetings
Key Responsibilities
As our Business Operations Coordinator, you'll be involved across many aspects of the organisation, including:
Business Operations
· Provide high-level administrative support to the Executive Officer
· Coordinate meetings, calendars, reports, agendas and organisational documentation
· Support governance, compliance and business improvement initiatives
· Manage enquiries and maintain business systems and records
Project Coordination
· Coordinate the SMART Kit platform and other strategic projects
· Monitor project milestones, reporting requirements and stakeholder engagement
· Support funded programs, grant reporting and project implementation
Events & Stakeholder Engagement
· Coordinate industry events, workshops, forums and conferences
· Manage registrations, venues, speakers, communications and logistics
· Collaborate with marketing partners to promote events
· Build strong relationships with members, sponsors and industry stakeholders
Membership & Communications
· Support member onboarding, renewals and engagement
· Maintain member databases and communication activities
· Coordinate sponsorship agreements and reporting
· Assist with surveys and member feedback initiatives
Financial & Administrative Support
· Assist with invoice processing and financial administration
· Support budget monitoring and reporting
· Work with external bookkeeping and accounting providers where required
What We're Looking For
We're seeking someone who is organised, adaptable and enjoys working across multiple projects.
You'll ideally bring:
Essential Skills & Experience
· Experience in business administration, operations or project coordination
· Excellent organisational and time management skills
· Strong written and verbal communication abilities
· Experience coordinating events or stakeholder engagement activities
· High attention to detail and strong document management skills
· Proficiency with Microsoft Office and cloud-based business systems
· Ability to work independently in a remote environment
· A proactive, solutions-focused approach
· Current National Police Check (or willingness to obtain)
Desirable Experience
We'll be especially interested if you have experience in:
· Membership associations, not-for-profit organisations,
Group Training Organisations or Registered Training Organisations or similar
· Apprenticeships, Traineeships or the Vocational Education and Training (VET) sector
· Government-funded projects and grant administration
· Sponsorship & event coordination
· CRM, project management or event management systems
· Governance, policy development or compliance
