Executive Assistant to the CEO – People, Admin and Compliance

Organisation: Orange Basket Community Services Limited

Location: Noarlunga SA

Employment type: Full-time, 38 hours per week, Monday to Friday (no weekend work)

Salary: $90,000–$95,000 per annum plus superannuation (optional salary packaging available)

About the role

We're looking for a highly organised, self-motivated Executive Assistant to support our CEO across people, administration and compliance. You'll take genuine ownership of recruitment, compliance coordination, participant documentation, invoicing follow-up, supplier liaison, and property/WHS coordination — working independently while staying connected to the wider team.

This full-time role runs Monday to Friday with no weekend work, supporting genuine work-life balance.

Key responsibilities

People and workforce administration

- Coordinate recruitment: job ads, screening, interviews, reference checks, pre-employment requirements

- Prepare employment contracts, offer letters, variations and position descriptions from approved templates

- Run onboarding, induction and mandatory orientation

- Monitor staff screening checks, qualifications, licences and certificates

- Conduct probation and performance reviews

Compliance and risk coordination

- Coordinate the Compliance Team's work under the CEO's direction, allocating tasks and following up deadlines

- Review Compliance Team updates and flag gaps, delays or emerging risks

- Coordinate risk assessments, corrective actions and audit preparation

- Escalate urgent or high-risk matters promptly

- Provide the CEO with concise updates and recommended actions

Participant documentation

- Prepare and follow up participant service agreements and schedules of supports





- Coordinate amendments following approved changes to services or funding

Invoicing and supplier administration

- Follow up unpaid, rejected or overdue invoices

- Liaise with suppliers: quotes, invoice discrepancies, corrected invoices and negotiated pricing

Property and WHS

- Organise property inspections and document hazards or maintenance needs

- Coordinate approved repairs and escalate urgent safety issues immediately

Executive support

- Maintain action lists and follow up agreed responsibilities and deadlines

- Prepare correspondence, reports, briefing notes and meeting minutes

- Resolve routine matters within scope; escalate the rest with explicit options and recommendations

- Coordinate across multiple organisational entities where required

About you

You're dependable, self-motivated and comfortable working independently without needing constant step-by-step instruction. You follow things up respectfully but firmly, stay calm under pressure, and know when to resolve something yourself versus escalate it. You respect confidentiality and delegated-authority boundaries, and take direction and feedback well.

Essential requirements

- Relevant qualifications or substantial experience in community services, HR, executive support, compliance or business administration

- Experience coordinating recruitment, onboarding and employee documentation





- Experience handling confidential personnel or organisational records

- Strong written communication and document preparation

- Demonstrated ability to manage competing priorities and work independently

- Competence with Microsoft 365, Google Workspace or similar

- Australian citizenship, permanent residency or unrestricted work rights

- Current driver's licence and reliable, insured vehicle

- Current (or willingness to obtain): NDIS Worker Screening Check, Working with Children Check, Australian Federal Police Check, First Aid and CPR certificates

All licences, checks, insurance and certificates must remain current throughout employment.

Desirable

- Experience in NDIS, disability, community services, health or aged care

- Knowledge of NDIS Practice Standards and Quality Indicators

- Experience with compliance audits, risk assessments and corrective actions

- Experience supporting a CEO or senior executive

- Experience working across multiple entities or business functions

What we offer
