About the role
We are seeking an experienced and highly motivated Project Administrator for our business located in Canberra. You will ensure projects are delivered efficiently, on schedule, within budget and in accordance with Australian industry standards and company requirements.
To be considered for this role, you will need to hold a Bachelor’s degree in Management or a related field and a minimum of 5 years’ proven experience working in a similar position.
Your responsibilities will include
•Coordinate and administer multiple projects from commencement through to completion, ensuring project activities are aligned with contractual obligations, organisational objectives and Australian building and safety standards.
•Prepare, review and maintain project documentation, including contracts, work orders, quotations, variation requests, progress reports and project schedules, ensuring the accuracy, completeness and compliance of all project records.
•Liaise effectively with clients, suppliers, subcontractors and internal departments to facilitate project communications,
resolve project issues and ensure timely delivery of project milestones.
•Carry out project planning activities, including resource allocation, scheduling, procurement coordination and budget monitoring, and provide administrative support to optimise project performance and operational efficiency.
•Monitor project progress against established timelines, budgets and deliverables, identify potential risks, delays and cost variations, and recommend practical solutions to support successful project outcomes.
•Coordinate subcontractor and supplier engagements by tracking deliverables, monitoring performance and ensuring compliance with contractual specifications, quality requirements and workplace health and safety obligations.
•Collect, analyse and interpret project performance data to prepare management reports and provide recommendations to senior management regarding project improvements, cost control measures and resource utilisation.
•Contribute to the continuous improvement of project administration processes, policies and reporting systems to enhance operational effectiveness and support business growth.
The required skills
•Strong organisational and time management skills, with the ability to manage multiple projects and competing priorities simultaneously.
•Excellent written and verbal communication skills, with proven stakeholder management abilities.
•Proficiency in project management software and the Microsoft Office suite, particularly Microsoft Excel and Word.
•Strong analytical and problem-solving capabilities, with the ability to identify project risks and recommend effective solutions.
