Business Services Manager
Fremantle | Full-Time | $100,000 - $120,000 + Super (Negotiable)
An established project-based business operating throughout regional Western Australia is seeking an experienced Business Services Manager to join its growing team.
This is a pivotal leadership role responsible for overseeing the company's administration, human resources, finance and Integrated Management System (IMS) functions. With broad business exposure and significant autonomy, this position is ideal for a hands-on professional who enjoys taking ownership, driving compliance, improving systems and processes, and supporting the continued growth of the organisation.
As a key member of the team, you will work closely with senior leadership to ensure the business operates efficiently, maintains compliance with ISO standards, and delivers best-practice administrative, HR and financial support across the organisation.
About the Role
Reporting directly to senior management, you will be responsible for the day-to-day management of business administration while providing leadership across HR, finance and compliance functions.
A major focus of the role will be the ownership and ongoing management of the company's Integrated Management System (IMS) , ensuring compliance, audit readiness and continuous improvement across quality, safety and environmental frameworks.
Key Responsibilities
- Take ownership of the company's Integrated Management System (IMS), ensuring policies, procedures and documentation remain current and compliant.
- Maintain and continuously improve ISO-certified management systems and associated compliance requirements.
- Coordinate internal and external audits, corrective actions and continuous improvement initiatives.
- Ensure compliance with quality, safety, environmental and regulatory obligations.
- Manage HR administration, recruitment, onboarding and employee documentation.
- Support performance management,
personnel administration and HR compliance activities.
- Oversee office administration and business support functions.
- Coordinate tenders, submissions and supporting documentation.
- Manage purchase orders, procurement records and supplier documentation.
- Support finance functions, including accounts administration, reconciliations and bookkeeping activities.
- Assist with budgeting, financial reporting and management reporting requirements.
- Maintain accurate business records, registers and compliance documentation.
- Coordinate project, personnel and asset scheduling activities.
- Work closely with operational teams to ensure systems, processes and documentation are maintained.
- Lead and support administration personnel where required.
- Identify opportunities to improve business systems, efficiency and operational processes.
About You
To be successful in this role, you will have:
- Previous experience in an Administration Manager, Office Manager, Operations Manager or similar senior administration role.
- Experience supporting HR, finance and business operations functions.
- Strong organisational and time-management skills with exceptional attention to detail.
- Excellent verbal and written communication skills.
- Strong stakeholder management and relationship-building abilities.
- The ability to work autonomously, take initiative and manage competing priorities.
- Advanced computer and systems skills, including Microsoft Office.
- A proactive, hands-on and solutions-focused approach.
- A commitment to maintaining high standards of compliance,
quality and operational excellence.
- Demonstrated experience managing and maintaining an Integrated Management System (IMS) in an ISO-certified workplace is essential.
- Strong understanding of document control, internal auditing, corrective actions, compliance management and continuous improvement frameworks.
- Experience maintaining ISO systems and coordinating compliance and audit activities.
Desirable
- Experience working with ISO 9001, ISO 45001 and/or ISO 14001 standards.
- Experience within construction, mining, engineering, manufacturing, infrastructure or project-based environments.
- Xero and/or MYOB experience.
- Relevant qualifications in Business Administration, Human Resources, Finance, Quality Management or a related discipline.
- Experience supporting multi-disciplinary or operational teams.
