Harmony is one of the world's leading gold producers and a significant operator of gold tailings retreatment facilities. In Papua New Guinea, Harmony owns and operates the Hidden Valley Mine and holds a 50% interest in the Wafi-Golpu copper-gold project. In Australia, Harmony owns the CSA Copper Mine in Cobar, NSW and is developing the Eva Copper Mine in Cloncurry, Queensland.
We are seeking an experienced Project Administrator - Portfolio to join our Operations Project Management team and play a key role in supporting the delivery of Harmony's Major Projects Portfolio. This position provides essential project administration, coordination and document control support to ensure projects are delivered safely, efficiently and in line with business objectives.
Permanent prospect, based at the Australasia Services Office. 5 on / 2 off roster, Opportunity to WFH 2 to 3 days per week.
About the Role
Reporting to the Group Manager Operations Projects, you will work closely with Project Managers, Construction teams, Operations and key stakeholders to support all aspects of project delivery from initiation through to project close-out.
Key responsibilities include:
- Supporting project initiation and setup in SharePoint and Ineight (fore controlled documents), ensuring a single source of truth for project documentation.
- Assisting with the preparation, formatting and management of project reports, presentations and documentation.
- Maintaining document control processes and supporting implementation of document management frameworks.
- Coordinating travel, accommodation, site access, inductions and mobilisation requirements for employees, contractors and consultants.
- Assisting with preparing and keeping updated all project action registers, meeting minutes and follow-up of outstanding actions.
- Supporting contractor mobilisation and maintaining portfolio schedules and resource information.
- Providing purchasing and administration support, including raising purchase requisitions and liaising with internal stakeholders.
- Supporting project governance, document management audits and project health checks.
- Assisting with project close-out activities, lessons learned registers and documentation handover to operations teams.
- Providing broader administrative support across the PMO function as required
- Promoting Harmony's safety culture and values in all aspects of your work.
About You
You are a highly organised and proactive administrator with extensive experience supporting projects in mining, resources or professional services environments. You thrive in a fast-paced environment and enjoy working across multiple stakeholders and priorities.
To be successful in this role, you will have:
- Tertiary qualifications in Business Administration, Document Management or a related discipline (highly regarded).
- 10+ years' experience in project administration, site administration or a similar support role.
- Basic understanding of project management processes, governance and project lifecycles
- Experience supporting Project Management Office (PMO) functions, including reporting, travel coordination and calendar management.
- Advanced skills in Microsoft Office,
SharePoint and Microsoft Teams, with experience in Aconex, InEight and/or Pronto highly regarded.
- Excellent organisational skills and the ability to manage competing priorities.
- Exceptional communication and stakeholder engagement skills.
- Strong attention to detail and document management capability.
- A structured, proactive and solutions-focused approach to work.
- Current Class C Driver's Licence.
