Be the driving force behind our Executive Team
Western Hospital is seeking an experienced Executive Administration Support professional to become the trusted right hand to our Executive Leadership Team. This is far more than a traditional administration role—you'll play a key part in supporting strategic initiatives, coordinating high-level projects, managing executive operations, and helping shape the culture and communication of our growing hospital.

About the role
You'll be the central hub that keeps our Executive Team operating at its best by:
- Managing executive diaries, emails, meetings, and priorities with exceptional efficiency.
- Preparing professional correspondence, reports, presentations, and Board documentation.
- Coordinating Board and Executive meetings, including agendas,
minutes, and action tracking.
- Managing the credentialling process for Visiting Medical Officers.
- Coordinating travel, events, and executive functions.
- Processing executive expenses, invoices, and reconciliations.
- Creating engaging content across our social media platforms while supporting the CEO's visibility across hospital communications.
- Acting as a professional first point of contact for executives, clinicians, Board members, and external stakeholders.
- Identifying opportunities to improve systems and processes, bringing fresh ideas and innovative solutions.
- Working closely with the Executive Leadership Team to foster a positive, collaborative, and high-performing workplace culture.
Essential Criteria:
- Experience supporting senior executives and/or Boards within a corporate, healthcare or professional services environment will be highly regarded.
- Outstanding written and verbal communication skills.
- Exceptional interpersonal skills with the ability to build trusted relationships across all levels of an organisation.
- Advanced Microsoft Office skills, including Word, Excel, PowerPoint, Outlook, SharePoint, and Teams.
- Excellent organisational skills with meticulous attention to detail.
- The ability to manage multiple competing priorities while maintaining confidentiality and professionalism.
- A proactive mindset with the confidence to recommend improvements and drive efficiencies.
- A current National Police Clearance and Working With Children Check (or willingness to obtain both).
