The Housing Industry Association (HIA), Australia's peak residential building industry association, is seeking aMembership, Communications & Administrative Officerto join our Tasmania team based in Hobart.
This is a diverse, hands-on role responsible for providing high-quality customer service and administrative support to HIA members, visitors and stakeholders, while also supporting regional communications activities, membership services, product sales and the day-to-day operation of the Hobart office.
Working closely with the Regional Executive Director - Tasmania, you will play an important role in supporting member engagement, communications activities, office administration and product sales across the region.
About the Role
Key responsibilities include:
Membership SupportAssist with membership enquiries and member service activities.
Support membership administration, activations and recruitment initiatives.
Coordinate new member information packs and member communications.
Maintain accurate member records, reporting and data entry activities.
Assist with tracking member and event participation information.
Communications SupportAssist with drafting, formatting and distributing regional communications.
Support regional social media activity through content scheduling and monitoring.
Maintain stakeholder, member and media contact lists.
Monitor media coverage and assist with media-related administration.
Support promotion of local events, services, advocacy priorities and Housing Awards activities.
Attend stakeholder and media meetings with the Regional Executive Director as required.
Reception & AdministrationProvide professional reception and front desk services.
Support the national phone line and respond to enquiries from members, customers and stakeholders.
Prepare correspondence, reports and other documentation.
Coordinate meetings, diaries and office administration activities.
Assist with invoicing, banking and budget administration when required.
Support the delivery of regional projects, meetings and events.
Coordinate meeting room and function room bookings, catering and audio-visual requirements.
Maintain records, filing systems and administrative processes.
Product Sales & Service SupportPromote and sell HIA stationery and products.
Process orders, sales and invoicing activities.
Manage stock control, stocktaking and product deliveries.
Respond to customer enquiries and maintain CRM records.
Liaise with suppliers, printers and other service providers.
Assist with promotional activities for HIA products and services.
About You
To be successful in this role, you will bring:
Strong customer service skills and a commitment to delivering quality service.
Experience in administration, customer service, office support or a similar role.
Experience or a demonstrated interest in communications support, social media, stakeholder communications or media monitoring.
Excellent interpersonal, written and telephone communication skills.
Strong attention to detail and the ability to prepare accurate, professional documentation.
Well-developed organisational skills with the ability to manage competing priorities and meet deadlines.
Sound computer skills including Microsoft Word, Outlook and Excel.
The ability to build effective working relationships with members, stakeholders and colleagues.
A proactive approach, strong initiative and effective problem-solving skills.
The ability to work both independently and as part of a team.
