Your next career opportunity: In this Executive Assistant role, you will support two Executives for the Melbourne Research & Enterprise Portfolio. You will coordinate complex diaries, governance activities and key relationships that enable the University's research ambitions.
What you will deliver:
Provide high-level executive support to two Executives, including expert diary, travel and expense management.
Manage incoming correspondence and requests, drafting responses and ensuring matters are prioritised, tracked and actioned promptly.
Coordinate committees and meetings, including scheduling, agendas, papers, minute-taking and technology support for hybrid participation.
Develop and maintain efficient administrative systems, records and workflows that support consistent, high-quality portfolio operations.
Collaborate with the Executive Support team to streamline processes and contribute to continuous improvement initiatives.
You may be a outstanding fit if you:
Bring substantial experience providing high-level executive assistance to senior leaders in complex organisations.
Demonstrate advanced proficiency with Microsoft Office, Zoom and related systems, and quickly learn new tools.
Excel at managing competing priorities, deadlines and detailed logistics in a fast-paced, confidential environment.
Draft clear, accurate documents and correspondence, tailoring messages for senior stakeholders and diverse audiences.
Establish and improve administrative systems and processes that enhance efficiency, tracking and follow-up.
Navigate sensitive information with discretion, sound judgement and a strong commitment to professionalism.

Your current team - Melbourne Research & Enterprise:
You will join the Melbourne Research & Enterprise portfolio within Chancellery, led by the Deputy Vice-Chancellor Research. The portfolio partners with academic divisions to deliver world-class research, strategic partnerships and translational impact. You will work closely with senior leaders, VIPs and specialist teams committed to excellence and collaboration.
