Reception & Administration Officer

Allied Health Clinic | Ridgehaven

Due to continued growth, AEP Health Group is seeking a friendly, organised and motivated Reception & Administration Officer to join our team, primarily based at our Ridgehaven clinic on North East Road.

This is more than a reception role—you'll become an integral member of a collaborative Allied Health team, helping ensure every client feels welcomed, supported and cared for throughout their healthcare journey.

About the Role

As the first point of contact for our clients, you'll play an important role in creating a welcoming, professional and positive clinic experience while supporting the smooth day-to-day operation of our reception.

Working in a modern, paperless environment, you'll collaborate with a multidisciplinary team of Allied Health professionals and provide high-quality administrative support across a range of clinical services.

Working Hours

- Monday to Thursday: 9:00am – 5:00pm

- Friday: 9:00am – 4:00pm

- No weekends or after-hours work

Your initial training will be completed at our Woodville Park clinic, where you'll receive hands-on support while becoming familiar with our systems, processes and team. Once your training is complete, you'll transition to our Ridgehaven clinic,



where you'll confidently manage the reception and administration function with continued support from our wider team whenever required.

Applicants with previous medical or Allied Health administration experience are strongly encouraged to apply.

Key Responsibilities
Client Experience

- Welcome clients with warmth, professionalism and empathy

- Assist with appointments, referrals and general enquiries

- Create a positive and supportive experience for every client

Appointment & Diary Management

- Coordinate appointments for multiple Allied Health practitioners across AEP Health Group

- Manage clinician diaries using PracSuite

- Maintain accurate appointment schedules and client records

Client Communication

- Respond professionally to phone, email and SMS enquiries

- Liaise with clients, referrers and healthcare providers

Administration & Funding

- Process referrals, payments and day-to-day administrative tasks

- Support clients across a range of funding programs, including:

- Medicare

- Department of Veterans' Affairs (DVA)

- National Disability Insurance Scheme (NDIS)

- Return to Work

- Aged Care

- Private clients

About You

We're looking for someone who is:

- Friendly, approachable and professional

- Highly organised with excellent attention to detail





- Able to prioritise tasks and remain calm under pressure

- Confident working independently and as part of a team

- Passionate about delivering exceptional customer service

Skills & Experience

Essential:

- Previous experience in medical or Allied Health administration

- Experience managing appointments, referrals, billing and payments

- Excellent written and verbal communication skills

- Confidence using clinical software systems

- Strong understanding of confidentiality and privacy requirements

- Ability to coordinate multiple practitioners and competing priorities

Highly regarded:

- Experience working with Medicare, DVA, NDIS, Return to Work and Aged Care funding pathways

- Experience using PracSuite

- Experience using HICAPS and Medipass/Tyro payment systems
