Fleet Administration Coordinator
Western Work Force is currently seeking an experienced Fleet Administration Coordinator to join our Client’s team based in Bunbury with occasional travel to Collie. This is a hands-on coordination and administration role supporting the workshop, fleet and accounts functions.
About the Role
The Fleet Administration Coordinator will be responsible for coordinating parts, supplies, workshop requirements, heavy vehicle scheduling and general fleet administration. You will work closely with workshop personnel, suppliers, transport providers and the accounts team to ensure jobs, orders and invoices are processed accurately and on time.
This is a varied role suited to someone who is organised, proactive and comfortable working in a busy operational workplace.
Key Responsibilities
- Coordinate parts, consumables, equipment and workshop supplies
- Interpret parts requirements and arrange parts ordering
- Coordinate heavy vehicle and workshop scheduling
- Liaise with suppliers, couriers and transport companies
- Obtain pricing and ensure competitive purchasing
- Assist with workshop job planning and prioritising
- Process purchase orders, orders and supplier invoices
- Assist the accounts team with invoice and order queries
- Maintain accurate records and workshop documentation
- Update maintenance and fleet management systems
- Coordinate parts and supplies across multiple workshop locations as required
- Assist with reporting, documentation and general administration
- Ensure relevant company,
customer and HSEQ requirements are followed
- Identify and report any safety, operational or supply issues
- Provide general support to the workshop and fleet operations team
Skills & Experience
- Previous experience in a parts, fleet, workshop, transport or similar coordination role
- Experience with parts ordering and supplier management
- Experience coordinating heavy vehicles, transport or workshop activities
- Strong administration and organisational skills
- Good computer skills and experience using maintenance or fleet management systems
- Experience with purchase orders, invoices and basic accounts administration
- Excellent communication and customer service skills
- Strong attention to detail and record keeping
- Ability to prioritise tasks and work to deadlines
- Ability to work independently and as part of a team
- Strong problem-solving skills and a proactive approach
- Current National Police Clearance or ability to obtain one
- Experience with HVA (heavy vehicle accreditation) and Road permits (preferred)
- Ability to pass a pre-employment medical and drug & alcohol screening
