MBB Consulting is a specialist project advisory and consulting firm delivering procurement, commercial, project management, contract administration, cost management and project support services across major infrastructure and development projects. As we continue to expand, we are offering an opportunity for a Document Controller / Site Administrator to join our team.
About The Role
We are seeking an experienced Document Controller / Site Administrator to oversee document management and provide day-to-day site administration support on a major infrastructure project. You will be responsible for maintaining accurate, compliant and accessible project documentation across all project teams and business platforms, while supporting the smooth day-to-day operation of the project site through a range of administrative functions. As the project progresses to completion, this role will transition into a broader Office Manager / Finance Administrator position within MBB Consulting, providing an excellent opportunity for a candidate seeking long-term career growth within the business.
Key Responsibilities
- Own end-to-end document control across the project lifecycle, ensuring documentation is accurate, current, compliant and readily accessible.
- Develop, implement and continuously improve document control procedures, workflows and work instructions in line with project and company standards.
- Configure, administer and maintain document management systems (e.g. Aconex, SharePoint), including user access, permissions, metadata and document registers.
- Manage controlled document workflows, including submissions, revisions, reviews, approvals, distribution and transmittals.
- Process, format, quality-check and maintain project documentation and correspondence, ensuring complete traceability and audit readiness.
- Monitor compliance with document control procedures and project requirements by conducting regular audits and implementing corrective actions where required.
- Coordinate document handover, project close-out and archiving activities to ensure records are complete and compliant.
- Prepare meeting agendas, minutes and action registers for project and site meetings.
- Provide day-to-day site administration support, including correspondence, filing, diary coordination, stakeholder communication and general operational assistance to ensure the efficient running of the project site.
- Deliver training and ongoing support to project team members on document management systems and document control processes.
- Liaise with project managers, engineers, contractors and external vendors to facilitate efficient document workflows and information exchange.
- Identify opportunities to improve document management processes, enhance efficiency and support continuous improvement initiatives.
- As the project nears completion, support the transition into broader business operations by assisting with office administration,
finance coordination and business support activities.
About You
- Proven experience in Document Control, Site Administration or similar project support role
- Strong knowledge of document control systems, governance and compliance requirements
- Proficiency in document management platforms
- Intermediate to advanced proficiency in Microsoft Office and SharePoint (Excel, Word, PowerPoint)
- Experience preparing meeting minutes and providing broader site/administrative support
- Excellent organisational, written and verbal communication skills
- High attention to detail and ability to manage competing priorities in a fast-paced environment
- A proactive, solutions-focused mindset and commitment to continuous improvement
- Strong stakeholder engagement skills and the confidence to build relationships across project teams
- Flexibility and enthusiasm to transition into a broader office administration and finance support role as project requirements evolve
- Ideally located within reasonable travelling distance of both the project site (Kalkallo) and our Hawthorn office, as the role will be based across both locations over time.
