NDIS Administration Assistant
Work from home | Monday to Friday | 4–5 hours per day | Flexible school hours

Do you enjoy bringing order to busy systems, following referrals through from start to finish, and making sure participants and families feel supported from their very first contact?
Impact Family Services is looking for an experienced NDIS Administration Assistant to become an important part of our team.
This is not a role where you will simply sit in the background completing repetitive tasks. You will be a key point of support for our practitioners, participants, families and support coordinators, helping ensure referrals progress smoothly, documents are completed correctly and nothing important is missed.
The role is approximately 4–5 hours per day, Monday to Friday, with flexible hours that can be worked around school commitments.

What Your Day May Look Like
- Responding to a new referral and speaking with a support coordinator
- Guiding a family through the intake process
- Reviewing NDIS plans and funding information
- Preparing service agreements, schedules of supports and consent documents
- Following up outstanding intake or compliance documents
- Entering and updating participant information
- Monitoring shared inboxes and responding to enquiries
- Supporting practitioners with participant onboarding
- Checking that participant files are complete and compliant
- Keeping referrals organised and progressing
- Assisting with executive and general administrative tasks
- Creating occasional social media posts or recruitment advertisements
You’ll Be a Great Fit If You Are
- Experienced in NDIS administration
- Confident managing current referrals from enquiry through to commencement
- Familiar with intake, consent, funding and compliance documentation
- Highly organised and able to manage several priorities at once
- Proactive and comfortable following up outstanding information
- Confident communicating with participants, families and support coordinators
- Professional and welcoming on the phone and by email
- Accurate, reliable and attentive to detail
- Able to work independently without needing constant direction
- Someone who takes responsibility for seeing tasks through to completion
Experience We’re Looking For
Previous experience in an NDIS administrative role is essential.
Experience with the following will be highly regarded:
- ShiftCare or similar client management systems
- Service agreements and schedules of supports
- NDIS funding categories and support item codes
- Participant onboarding and compliance processes
- Executive administration
- Social media posts and advertisements
