About the Role:





To provide effective and timely administrative support in accordance with established policies, procedures and processes. Support the team to facilitate the efficient operations of a trans-disciplinary team in a busy workplace.

Summary of Duties:

Maintain a broad and strong understanding of the range of services and supports that Ovis provides to ensure accurate information is provided to clients and the community.

Assist in the provision of day to day support, including organisational and administrative support, facilities liaison, managing stationery and consumables, co-ordinating meetings and room bookings.

Provide high level administrative support to the Service Support Lead and other members of the team to meet the needs of the team and clients.

Assist in the provision of support to all of Ovis Community Services, including organisational and administration support, facilities liaison, assisting with management of stationery and consumables.

Working with MYOB

Payments and invoices as required

Answering incoming calls to the organisation, transferring calls, triaging clients and client bookings as required

Data entry as required.

Organising team functions and venue bookings

Attend meetings, training and supervision as requested.

Maintain a clean and tidy workspace including communal areas,



meeting rooms and client areas.

Work in a culturally protected manner.

Embracing principles of inclusion in all aspects of work, with staff and clients.

Delivering a professional standard of service throughout all agency interfaces.

Any other duties as requested by the Service Support Lead or Senior Management.

Comprehensive JDF available on request.

What We're Looking For:

Essential Compliance Documents

- Current Working with Children Check.
- Australian Police Clearance obtained within the last 3 months.
- Current C Class Driver's Licence.
- Australian Working Rights

Skills and Experience

Relevant qualifications in Business, Business Administration or a related discipline will be highly regarded.

Strong organisational and time‑management skills, with the ability to manage competing priorities, meet deadlines and maintain attention to detail.

Highly developed written and verbal communication skills, with the ability to draft clear, professional correspondence, reports and presentations. Strong attention to detail and ability to produce high-quality documentation.

Excellent stakeholder management and interpersonal skills, with the confidence to engage professionally at all levels.

Proven ability to manage digital information systems, including maintaining secure and well‑organised electronic filing structures.

Strong governance and secretariat skills, including the ability to prepare accurate agendas, minutes and Board papers, and coordinate governance processes with precision.

Demonstrated ability to maintain confidentiality and exercise discretion.
