Your new role
Reporting directly to the Director, you will be responsible for managing the administrative function of the practice and ensuring operational efficiency across all areas of the business.
Key responsibilities include
- Managing the day-to-day administration and operations of the practice
- Overseeing client onboarding, engagement documentation and record maintenance
- Maintaining accurate client data, jobs, workflows and tasks within Xero Practice Manager
- Monitoring workflow progress and compliance deadlines across the practice
- Supporting invoicing, WIP monitoring and financial administration activities
- Managing ATO and ASIC compliance administration requirements
- Coordinating lodgements, company compliance records and regulatory correspondence
- Maintaining document management systems and ensuring information security protocols are followed
- Supporting accountants with workflow coordination and administrative priorities
- Reviewing and improving administrative procedures, systems and workflow processes
- Coordinating office resources, suppliers, meetings and internal communications
- Supporting employee onboarding,
administration and office culture initiatives
What you’ll need to succeed
To be successful, you will demonstrate:
- Previous administration or practice management experience within an accounting, finance, legal or professional services environment
- Strong working knowledge of Xero Practice Manager (essential)
- Experience using Xero Accounting software and other cloud-based practice management platforms
- Understanding of accounting firm workflows, compliance processes and client service operations
- Knowledge of ATO and ASIC administration requirements
- Strong organisational and time management skills
- Exceptional attention to detail and accuracy
- Ability to manage competing priorities and deadlines
- Strong interpersonal and communication skills
- A proactive, solutions-focused approach and commitment to continuous improvement
- Experience with Xero Tax, Xero Workpapers, ASIC compliance administration and practice workflow management will be highly regarded
