THE POSITION
We are looking for a professional, personable, and proactive Legal Secretary to join our team. You will provide legal secretarial and administrative support to ensure the delivery of exceptional services to all clients.
Remuneration for this position will be commensurate with your previous experience and how closely you align with the selection criteria.

KEY RESPONSIBILITIES
- Client onboarding, file opening, and ongoing file management.
- Drafting and editing legal documents and producing correspondence.
- Answering telephone calls and scheduling appointments.
- Liaising with clients,
solicitors and other parties as required.
- Supporting the firm’s solicitors and conveyancers with PEXA finalisation.
- Conducting online searches.
- Assisting with the production of billing and facilitating payment of bills.
- Supporting the accounts management function for the firm, which involves following established bookkeeping and Trust account procedures – largely in a relief role capacity for our permanent bookkeeper.
- Supporting reception duties when required.
- Performing general administrative duties as required.
- Maintaining confidentiality and always adhere to legal office protocols.
WHAT WE ARE LOOKING FOR
- At least 12 months full-time experience in a similar role.
- Excellent communication and people skills.
- Advanced time management and organisational skills.
- A willingness to learn and the ability to respond to changing priorities.
- Practice management systems and legal software experience – ideally Lexis Affinity, Microsoft Office, and Xero, although other experience is satisfactory.
- Ability to remain calm and professional under pressure.
- A friendly, positive, proactive team player attitude.
