Job Overview

About the Role
The Schedule Coordinator will manage client schedules, assigning staff based on required skills and minimising inefficiencies. Responsibilities include aligning staffing resources with client needs, maintaining accurate scheduling records, handling queries from the Customer Service Centre, and contributing to process improvements.
Key Responsibilities
- Coordinate and manage client schedules by assigning appropriate staff with the required skills and optimising resources to minimise travel time and administrative tasks.
- Communicate effectively with the Customer Service Centre and care recipients, addressing queries related to schedules and external providers promptly.
- Ensure accurate and timely documentation of scheduling activities using the organisation’s software systems, keeping detailed records of client visits, staff assignments, and changes.
- Collaborate with Site Managers and the Manager of Scheduling to adjust schedules and meet service delivery objectives.
Qualifications & Experience
- Experience in a scheduling or resource‑management environment.
- Strong knowledge of scheduling systems, workforce management software, and customer‑service management.
- Proficiency in data analysis and reporting, resource management and Microsoft Office.
- Excellent customer‑experience, communication, adaptive thinking, planning and prioritisation skills.
Location & Schedule
Based in the Bundoora office, operating on a rotating roster between 6:30am–5pm, Monday‑Friday. Weekend availability may be required occasionally.
