We are seeking a friendly, professional and organised Maintenance Administrator to join our team on a 12-month fixed-term contract, covering a period of parental leave. In this role you will provide essential support to the Operations Supervisors in managing our client base. Your role will focus on assisting with job scheduling, reporting, invoicing, and general administrative tasks to ensure efficient workflow and contract KPI compliance. Based at our regional office in Bunbury, you will work closely with internal teams, trades and key stakeholders to help deliver high-quality service.
This role will initially offer 2/3 days per week (15 hours) for up to 8 weeks during the training period, with a adaptable approach to how those days are structured, before transitioning to full-time hours (38 hours per week).
Key Responsibilities
- Job scheduling, daily schedule checks, and work order coordination
- Managing inbound and outbound communications (phone, email, client portals)
- Assisting payroll with schedule and timesheet management
- Supporting procurement of materials and job-related purchases
- Assisting with quoting and minor project administration
- Monitoring and updating job management systems to ensure KPI compliance
- Generating reports and assisting with invoicing
- Assisting in the day-to-day management of maintenance works, in accordance with our processes and procedures
- Maintaining a professional and courteous approach in all client and team interactions
- Proactively contributing to process improvements and business development
Qualifications
- Cert III in Business or similar qualification
- Experience with job management software (SimPRO) is highly regarded
- Strong organisational skills with the ability to multitask and meet deadlines
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Excellent communication and interpersonal skills
- A proactive approach and a flexible, can-do attitude
- 3+ years experience in a similar administrative role
