EZI Towing & Transport is seeking a talented and organised Dispatch Scheduler/Co-ordinator & Administration professional to join our dynamic team in Yatala, QLD. This is a full-time position based on-site at our Yatala facility. In this pivotal role, you will be the backbone of our operations, managing dispatch schedules, coordinating with drivers and customers, and ensuring the smooth running of our administrative functions. You will play a crucial part in delivering exceptional service to our clients whilst supporting our operational teams to meet their targets and objectives.
Key responsibilities
1. Scheduling and dispatching towing and transport vehicles to job sites in an effective and timely manner
2. Co-ordinating with drivers to confirm job acceptance, routes and estimated arrival times
3. Managing customer enquiries and service requests via phone, email and other communication channels
4. Maintaining accurate and up-to-date dispatch logs and job records in our management systems
5. Monitoring vehicle locations and job progress throughout the day
6. Addressing customer concerns and escalating issues to management when necessary
7. Processing paperwork and administrative documentation associated with jobs and services
8. Liaising between drivers, customers and management to ensure clear communication
9. Maintaining fleet schedules and identifying opportunities to optimise routes and resource allocation
10. Supporting the administration team with general office duties as required
11. Contributing to continuous improvement of dispatch and administrative processes
What we're looking for
1. Proven experience in a dispatch, scheduling or co-ordination role, ideally within the transport, logistics, towing or similar service industry
2. Strong organisational and multitasking abilities,
with the capacity to prioritise competing demands
3. Excellent communication skills, both written and verbal, with the ability to liaise effectively with drivers, customers and internal teams
4. Proficiency with dispatch management software and computer systems; experience with fleet management or similar platforms is highly desirable
5. Sound knowledge of the Yatala area and surrounding regions, or willingness to quickly develop this knowledge
6. Ability to remain calm under pressure and handle challenging situations professionally
7. Strong attention to detail and commitment to accuracy in record-keeping
8. A customer-focused approach with the ability to problem-solve and think on your feet
9. Valid Australian driver's licence
10. Reliability and punctuality, with flexibility to adapt to operational demands
