Underground Power Development (UPD) is seeking an experienced Project Coordinator / Administrator to support our underground electrical and telecommunications teams. This is a permanent full‑time position based in our West Perth offices.

As the Project Coordinator / Administrator, you will provide high‑paced project management support for our team, covering the end‑to‑end process from stakeholder management, quoting, project coordination to completion for a program of works.

Responsibilities

Determining Project Scopes and Quoting

- Collaborate with internal and external stakeholders to define project scopes and objectives.
- Document detailed project requirements and deliverables and ensure project scope aligns with stakeholder expectations and business goals.
- Prepare and send accurate quotes to the relevant parties for all services requested.
- Document and manage the acceptance process of quotes from stakeholders.
- Assist in the preparation of project proposals and presentations.

Stakeholder Engagement, Communication and Management

- Accurately identify stakeholders’ needs and demonstrate effective interpersonal skills and integrity.
- Develop and maintain stakeholder communication by providing regular updates on project progress and milestones to keep stakeholders informed and engaged.
- Address and resolve any stakeholder concerns or inquiries promptly and professionally.
- Draft and send formal communications to stakeholders, including quotations, emails, letters, and reports.
- Prepare and distribute project communication materials, stakeholder status reports,



and meeting minutes (when required).

Documentation, Reporting and Database Management

- Maintain accurate records of all communications, submissions and approvals within internal systems (database and email).
- Ensure records are easily accessible and well‑organised for future reference.
- Prepare regular project status reports for stakeholders and management.
- Update project documentation to reflect the current status of applications and technical drawing submissions.
- Manage, continuously improve and innovate project administrative systems.
- Ensure accurate and timely data entry into UPD Internal Database.

Application for Services and Lodgement of Documentation

- Apply for services under agency agreements on behalf of clients.
- Gather necessary information and documentation from clients to complete service applications.
- Submit applications and follow up with agencies to ensure timely processing.
- Keep clients informed about the status of their applications and any required actions.
- Compile technical drawings and other documents for submission.
- Submit technical drawings to relevant authorities or stakeholders for final sign‑off.
- Track and manage the approval process,



addressing any feedback or required revisions.
- Communicate approval status and feedback to technical staff and clients.

Qualifications

- 5+ years’ experience in a project engineering or utilities/communication provider coordination role for small to large‑scale projects.
- Qualification in project management, business administration or a related discipline, or extensive and demonstrated practical industry experience.
- Strong organisational and multitasking skills.
- Proficiency in project management tools and Microsoft Office.
- Excellent communication and interpersonal skills, both verbal and written.
- Detail‑oriented with a focus on accuracy and quality.
- Solid written and technical skills, with an innovative approach to technical problem‑solving and continuous improvement.
- Experience managing contractual correspondence across project delivery.
- Working with a cross‑skilled project team to deliver.
- Proof of right to work in Australia and a valid passport.
