The Administration Officer is responsible for providing administrative and customer service support to ensure the efficient day-to-day operation of our Registered Training Organisation (RTO). This role supports students, trainers, and management by coordinating training bookings, maintaining accurate records, and ensuring compliance with RTO requirements.

The Administration Officer is responsible for providing administrative and customer service support to ensure the productive day-to-day operation of our Registered Training Organisation (RTO). This role supports students, trainers, and management by coordinating training bookings, maintaining accurate records, and ensuring compliance with RTO requirements.
Key Responsibilities
- Welcome students and visitors in a professional and friendly manner.
- Respond to phone calls, emails, and general enquiries.
- Process student enrolments and maintain accurate student records.
- Schedule training courses, assessments, and instructor calendars.
- Prepare training materials, certificates, and course documentation.
- Enter and maintain data within the Student Management System (SMS).
- Process invoices, receipts, and payments as required.
- Assist with reporting and compliance documentation.
- Maintain filing systems and ensure records are complete and up to date.
- Order office supplies and maintain office equipment.
- Support trainers and management with administrative tasks.
- Ensure all administrative processes comply with RTO policies and procedures.
- Perform general reception and office administration duties.
Skills and Experience

- Previous administration or customer service experience.
- Excellent verbal and written communication skills.
- Strong organisational and time management skills.
- High attention to detail and accuracy.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Ability to prioritise tasks and meet deadlines.

Desirable
- Experience working in a Registered Training Organisation (RTO).
- Knowledge of TAC standards and RTO compliance requirements.
- Experience using a Student Management System.
- Basic accounts or bookkeeping experience.
