Predictive Recruitment Partners has been engaged by WS Collective to find an experienced, highly autonomous Senior Executive Assistant – Office Administrator who thrives on independence, takes genuine pride in getting the detail right, and brings calm, discretion and initiative to a fast‑moving and wide-ranging role.
About WS Collective: WS Collective is a boutique Perth-based group founded by Directors Dave Wilson and Helen Wilson, built on the legacy of Norup+Wilson. While property development sits at its core, the group also operates across hospitality, interior design (WS Interiors) and technology (WS Technology), taking a whole‑of‑life approach that spans design, development, delivery and ongoing management. This diversity is central to how WS Collective works. The team moves fluidly between disciplines on any given day, and the office that supports Dave and Helen needs to move just as fluidly with it.
About the role: This is a senior‑level opportunity for an experienced Executive Assistant / Office Administrator to take genuine ownership of a varied and demanding support function, working directly with both Directors with a high degree of autonomy. The role has become available following the restructuring of two part‑time roles, whose combined responsibilities spanned executive support, accounts administration and general office coordination. You will step into that gap and rebuild it around your own way of working.
Responsibilities:
- Providing senior‑level executive assistance to both Directors, including diary and calendar management, correspondence, travel coordination and meeting preparation
- Managing day‑to‑day office administration and ensuring the smooth running of the WS Collective office
- Overseeing elements of accounts and administrative processing, coordinating with external bookkeeping or accounts support as required
- Acting as a central point of coordination across the group's development, hospitality, interior design and technology functions, liaising with contractors,
consultants and internal teams
- Taking charge in unsupervised situations and exercising sound independent judgement in the absence of direct instruction
- Checking and proofreading documents, correspondence and reports to a consistently high standard
- Solving unfamiliar problems as they arise and maintaining workflow despite interruptions
- Handling sensitive commercial, financial and personal information with discretion at all times
About you: You are an experienced Executive Assistant or Office Administrator who is most comfortable running your own patch, making decisions with confidence, and holding yourself to a genuinely high standard of accuracy. You are reserved and formal rather than showy, and you communicate in a sincere, factual way. You take your responsibilities seriously, plan carefully, and follow through on what you say you’ll do. You are comfortable working with minimal day‑to‑day supervision, but you also understand the value of clear structure and defined processes. You are calm under pressure, genuinely unbothered by repetitive or high‑volume periods of work, and you understand that discretion isn’t optional in this role.
Key Traits for Success in This Role:
- Precise and Thorough – You check your own work, proofread as a habit, and hold yourself to a high technical standard every time
- Autonomous and Self‑Directed – You take charge in unsupervised situations and don’t wait to be told what to do next
- Composed Under Repetition and Pressure – You stay calm, patient and steady, whether the day is quiet or everything is happening at once
- Discreet and Trustworthy – You handle sensitive commercial and personal information with genuine care and confidentiality
What you bring to the role:
- 5–10+ years’ experience in a senior Executive Assistant, Office Manager or Office Administrator capacity, ideally supporting business owners or senior executives directly
- A demonstrated ability to work autonomously with minimal day‑to‑day supervision
- Experience managing a broad and varied workload across multiple functions or business areas
- Sound working knowledge of general office administration and basic accounts or bookkeeping support
- A mature, measured and highly professional communication style
- A genuine track record of handling confidential and sensitive information appropriately
What we can provide: WS Collective offers a genuine opportunity to take ownership of a senior support role at the heart of a growing, diversifying business. You will work closely with both Directors, with the autonomy to shape the role around your own strengths, and the variety of a group that spans property, hospitality, interior design and technology. This is a role for someone who wants to be genuinely relied upon, in a close‑knit office where good work is noticed and valued.
What you must have to apply for this role:
- Full working rights in Australia
- A minimum of 5 years’ experience in a senior executive assistant or office administration role
- Proven ability to work autonomously and manage a varied workload with minimal supervision
- Strong written and verbal communication skills
- Exceptional organisational skills and a high level of attention to detail
- A demonstrated track record of handling confidential and sensitive information with discretion
Eligibility: This position is available to permanent Australian residents or applicants with a work visa that enables them to work in Australia without restriction.
Applications close: 9th August
