About the role
We are seeking an experienced Administrator / Office Manager to join our team in Crace (ACT), on a part-time basis. This is a critical role that ensures the smooth and efficient operation of our practice. You will be responsible for managing day-to-day administrative functions, coordinating client scheduling, invoicing, supporting our clinicians, and working very closely assisting the Practice owner. This position is essential to the success of our practice and directly impacts our clients, staff and office environment.
Key responsibilities
- Managing new client enquiries and waitlists appropriately.
- Assisting with scheduling and coordinating client appointments using established processes.
- Maintaining accurate and confidential records in compliance with privacy legislation and professional standards.
- Processing invoices in a timely and accurate manner, and managing accounts receivable.
- Assisting with team caseload management.
- Ordering and managing office supplies, equipment and therapy materials.
- Completing administrative documentation and internal / external communications.
- Liaising with external stakeholders, such as Plan Managers and Auditors.
- Supporting compliance with Occupational Health and Safety requirements and practice policies.
- Managing client / staff onboarding, ensuring all necessary documentation is completed and filed.
- Contributing to a fun, supportive,
professional and organised practice environment.
What we're looking for
- Experience in an administrative or office management role, ideally within a Healthcare, Allied Health or Therapy setting.
- Proficiency with Google Workspace products (Gmail, Google Docs, Google Sheets, Google Calendar, Drive).
- Familiarity with invoicing with Xero accounting software.
- Strong organisational and time management skills, with the ability to prioritise multiple tasks.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- A professional, friendly and service-oriented approach to client interactions.
- Attention to detail and accuracy in record management.
- Familiarity with NDIS compliance, privacy legislation and therapy practice standards.
- Problem-solving skills and the ability to work independently and as part of a team.
