Hickory is seeking a proactive and detail-oriented Legal Administrator to join our dynamic legal team. This part-time role (2-3 days per week) offers the opportunity to transition into a full-time maternity leave cover in 2026. You'll work closely with the General Counsel and Senior Legal Counsel, with some support to our Commercial Manager, and will play a pivotal role in supporting legal operations across the business.

RESPONSIBILITIES
- Manage the legal inbox, triage requests, and allocate matters with relevant context.
- Maintain document integrity by saving emails and attachments in our document management system (M-Files) with accurate metadata.
- Oversee the contract library and ensure compliance tracking.
- Conduct preliminary contract reviews and prepare documents for execution.
- Coordinate legal briefs and manage court filing deadlines.
- Assist with trial preparation and litigation support.
- Ensure building licences are obtained and up to date.
- Support annual policy reviews and manage ASIC-related tasks.
- Maintain registers for contracts, licenses, policies, and claims.
- Assist with performance security processes and insurance renewals.
- Manage insurance claims.
- Distribute insurance certificates and coordinate project documentation.
- Schedule meetings, manage calendars, and prepare agendas/minutes.
- Support legal training sessions and due diligence activities.
- Provide general administrative support to the legal team.
TO BE SUCCESSFUL IN THE ROLE
- Proven experience as a paralegal or legal administrator, ideally in construction or property development.
- Strong ability to manage multiple stakeholders and lawyers with professionalism.
- Experience in contract administration and document management systems (e.g., MFiles).
- Tech-savvy with exposure to legal tech and e-discovery tools.
- Excellent calendar and meeting coordination skills.
- A proactive problem-solver with strong attention to detail and initiative.
