MAJA Partners Pty Ltd is a local Australian business specializing in finance, corporate services, automotive and creative business solutions. MAJA is based in Western Australia with its two premises in Victoria Park and Perth City. We are also in the stage of expanding our offices across Australian territories and states. To support our growing team base, we are seeking a motivated, organized and customer-focused Auto Yard Operations Officer to support our newly established ZAMBALA AUTOS.

About the Role

Key Duties and Responsibilities

1. Dealership Operations

- Oversee the day-to-day operations of the dealership yard.

- Ensure smooth coordination between sales, administration, finance, and service providers.

- Develop and implement operational procedures to improve efficiency.

- Monitor dealership performance and identify areas for improvement.

- Ensure compliance with company policies, industry standards, and legal requirements.

- Maintain a safe, clean, and organised dealership setting.

- Manage opening and closing procedures of the dealership.

- Coordinate vehicle logistics, deliveries, and transfers.

2. Sales Management

- Lead and motivate the sales team to achieve monthly and annual sales targets.

- Develop and implement sales strategies to increase revenue and profitability.

- Monitor individual and team sales performance.

- Conduct daily sales meetings and coaching sessions.

- Assist sales consultants in closing complex deals.

- Review pricing strategies and approve discounts within delegated authority.

- Promote finance, warranty, insurance, and value-added products.

- Ensure exceptional customer service throughout the sales process.

3. Inventory Management

- Manage dealership vehicle inventory.

- Monitor stock levels and turnover.

- Source quality vehicles from auctions, wholesalers, dealer networks, private sellers, and trade-ins.

- Evaluate vehicle purchasing opportunities.

- Ensure accurate vehicle records and inventory systems.

- Monitor ageing stock and develop action plans.

- Coordinate vehicle transfers between locations.

- Recommend pricing adjustments based on market conditions.

4. Vehicle Yard Management

- Ensure all vehicles are clean, professionally presented, and sales-ready.

- Coordinate vehicle detailing, repairs, servicing, and inspections.

- Ensure pricing stickers and promotional materials are accurate.

- Arrange vehicle photography for online advertising.





- Monitor yard presentation and signage.

- Ensure all vehicles are secure and protected.

- Coordinate vehicle movement within the yard.

- Conduct regular stock audits.

5. Vehicle Purchasing

- Identify opportunities to acquire quality vehicles.

- Negotiate purchase prices with suppliers and private sellers.

- Assess vehicle condition and market value.

- Review vehicle history reports.

- Evaluate trade-in vehicles.

- Recommend purchasing decisions to management.

- Maintain supplier relationships.

- Monitor market demand to guide purchasing decisions.

6. Marketing & Online Listings

- Ensure vehicles are listed promptly on relevant platforms.

- Monitor online advertisements for accuracy.

- Coordinate vehicle photography and descriptions.

- Assist with digital marketing campaigns.

- Promote dealership specials and events.

- Maintain social media presence in collaboration with the marketing team.

- Analyse advertising performance.

- Recommend marketing improvements.

7. Customer Service

- Deliver outstanding customer service.

- Resolve customer complaints professionally.

- Ensure transparent and ethical sales practices.

- Maintain high customer satisfaction levels.

- Follow up with customers after vehicle delivery.

- Encourage customer referrals and repeat business.

- Ensure customers understand finance, warranties, and after-sales services.

8. Staff Leadership & Supervision

- Conduct performance reviews and set development goals.

- Foster teamwork and accountability.

- Prepare staff rosters where required.

- Monitor attendance and productivity.

- Promote a positive workplace culture.

- Ensure compliance with workplace policies and procedures.

- Support ongoing professional development.

9. Financial Management

- Monitor dealership revenue and profitability.

- Review gross profit per vehicle.

- Monitor sales margins.

- Approve expenditure within delegated authority.

- Assist in budgeting and forecasting.

- Prepare monthly financial reports.

- Monitor operational costs.

- Identify opportunities to improve profitability.

10. Compliance & Risk Management

- Ensure compliance with Australian Consumer Law and motor vehicle dealer licensing requirements.

- Ensure all sales documentation is complete and accurate.





- Monitor compliance with privacy legislation.

- Maintain workplace health and safety standards.

- Ensure vehicles meet roadworthy and safety requirements.

- Manage dealership insurance and security requirements.

- Report operational risks to senior management.

- Maintain accurate business records.

11. Administration

- Maintain accurate vehicle files.

- Approve sales documentation.

- Monitor CRM systems.

- Ensure registration and licensing documentation is completed.

- Prepare operational reports.

- Monitor customer contracts.

- Coordinate with finance and administration teams.

- Maintain supplier records.

12. Reporting

Prepare and submit:

- Daily sales reports

- Weekly inventory reports

- Monthly performance reports

- Vehicle purchasing reports

- Stock ageing reports

- Gross profit analysis

- Customer satisfaction reports

- Staff performance reports

- Marketing performance reports

- Operational improvement reports

Qualifications

Essential

- Certificate IV, Diploma, or Bachelor's degree in Business, Automotive Management, Sales, or a related field; or equivalent industry experience.

- Minimum 2 years' experience in automotive sales or dealership management.

- Demonstrated leadership and team management experience.

- Current Australian driver's licence.

- Robust knowledge of the Australian used vehicle market.

- Proficiency in Microsoft Office and dealership management software (e.g., EasyCars, Virtualyard).

Desirable

- Licensed Motor Vehicle Dealer (where applicable).

- Experience with dealership management systems (e.g., EasyCars, Virtualyard).

- Knowledge of vehicle finance and insurance products.

- Experience in digital vehicle marketing.

- First Aid Certificate.

- WHS training.
