Role Purpose

The Aged Care Branch Coordinator oversees the daily operations of our small Aged Care division, ensuring smooth service delivery, accurate documentation, and high-quality client support. This role acts as the central point of coordination for staff, clients, and external providers, while escalating complex matters to the Senior Manager.

Key Responsibilities

Operational Coordination

· Manage day-to-day workflow of the Aged Care branch, ensuring services run efficiently.

· Coordinate staff schedules, client visits, and rostering changes.

· Monitor service delivery to ensure timeliness, quality, and compliance with internal standards.

· Maintain oversight of care supplies, equipment, and inventory.

Administration & Compliance

· Maintain accurate client records, care plans, incident reports, and onboarding documentation.

· Ensure all paperwork meets regulatory and organisational requirements.

· Assist with audits, reporting, and preparation of compliance documentation.

· Support the Senior Manager with administrative tasks and operational reporting.

Staff Support

· Assist with onboarding, training coordination, and general support for care staff.

· Communicate daily priorities, updates, and changes to the team.

· Provide guidance on processes and escalate performance or conduct concerns appropriately.

Client & Family Communication

· Act as the first point of contact for clients, families, and external providers.

· Respond to enquiries, resolve straightforward issues, and escalate complex matters.

· Maintain a warm, professional, and empathetic approach to client interactions.





Business Support

· Assist with budgeting, invoicing, and basic financial tracking for the branch.

· Prepare weekly and monthly operational reports.

· Identify opportunities to improve efficiency, client satisfaction, and workflow.

Skills & Experience

· Experience in Aged Care, NDIS, community services, or a similar operational environment (preferred).

· Robust administrative and organisational skills.

· Excellent communication and customer service abilities.

· Ability to coordinate multiple tasks and priorities in a quick-paced environment.

· Understanding of compliance requirements in Aged Care (advantageous but not essential).

· A strong understanding of business management e.g. budgeting, reporting, business development and relationship building.

· Proficiency with scheduling systems, CRM platforms, and Microsoft Office.

Personal Attributes

· Warm, empathetic, and client-focused.

· Highly organised with strong attention to detail.

· Comfortable taking ownership of daily operations.

· Cooperative and supportive, with a willingness to help wherever needed.

· Able to work independently while knowing when to escalate issues.

· The ability to speak a second language is highly desirable, e.g. Assyrian, Spanish or Vietnamese

Pay: $58,300.49 – $65,000.00 per year
