Position Title: Bespoke Group Travel Designer
Location: Melbourne-based (Abbotsford, hybrid - 3 days per week in office)
Reports to: Head of Reservations and Incentives
Pay: From $75,000 + super + bonus
Role Overview
The Bespoke Travel Designer plays a pivotal role in creating and coordinating exceptional, tailor-made travel experiences for Localing's guests. Primarily focused on designing bespoke private journeys, the role also supports selected group and corporate travel programs, ensuring every itinerary is thoughtfully crafted and flawlessly delivered. Combining creativity, operational precision and genuine relationship building, this hands-on position requires a deep understanding of Australian destinations and the ability to translate each client's interests, travel style and objectives into seamless, highly personalised experiences. Working closely with Localing's reservations, operations and experience teams, as well as a trusted network of local suppliers, the Bespoke Travel Designer ensures every journey reflects the brand's commitment to authenticity, attention to detail and effortless service.
Key Responsibilities
Sales & Client Service
● Respond promptly and professionally to group and bespoke inquiries
● Design thoughtful, guest-centred itineraries that reflect Localing’s brand tone and quality standards
● Provide tailored recommendations based on guest profiles, interests, and budgets
● Support the achievement of individual and team sales targets
● Maintain clear communication with guests from enquiry through to post-travel follow-up
Itinerary Design & Delivery
● Create customised travel proposals, quotes, and itineraries using Localing’s systems and templates
● Work closely with the reservations and operations teams to ensure logistics are accurate and feasible
● Liaise with suppliers to confirm arrangements, rates, and availability
● Ensure itineraries meet brand, service, and guest experience standards
● Assist with on-ground hosting and coordination for VIP or high-value guests as required
Communication & Coordination
● Maintain proactive communication with guests, guides, and partners
● Collaborate closely with internal teams to ensure seamless handovers and service continuity
● Participate in daily operational check-ins and team meetings
● Contribute to a calm, organised, and positive team environment
Groups & Incentives
● Support the delivery of group and incentive programs from concept to execution
● Oversee product sourcing and development, program design, quoting, and supplier coordination
● Work collaboratively with the Head of Reservations and Incentives to ensure consistency across group operations
Systems & Processes
● Use Localing’s CRM and booking systems accurately for all sales and operational activity
● Ensure client records, itineraries, and communications are well-documented
● Support ongoing system improvements and share feedback on process efficiency
Product & Experience Development
● Contribute to the refinement of Localing’s product and supplier database
● Share guest feedback, market insights, and emerging trends with the broader team
● Support the development of new experiences, itineraries, and partnerships
Industry Knowledge & Representation
● Maintain a strong understanding of Australian destinations, local suppliers, and premium experiences
● Represent Localing professionally at trade or industry events when required
● Stay informed on trends in luxury travel
Requirements
● Based in Melbourne, with flexibility to work from our Abbotsford 3 days per week
● Minimum 3 years of experience in groups, incentives, FIT & travel design and tour operations — ideally in the luxury or bespoke travel space
● Strong knowledge of Australian destinations, product, culture, and experiences
● Exceptional written and verbal communication skills
● A natural collaborator who thrives in a team environment
● Proficiency with CRMs, booking systems, and digital tools
● Highly organised, detail-oriented, and calm under pressure
● Warm, personable, and genuinely guest-focused

Travel & Flexibility: As a guest-facing role within a national business, occasional weekend work and interstate travel will be required to support bespoke journeys, hosted experiences, industry events and business priorities. Flexibility outside standard business hours will be required from time to time to ensure an exceptional client experience.
