We are seeking a proactive and detail oriented individual who can play a vital role in delivering exceptional service across Australia and internationally.

The Opportunity:
You will be the key link between internal and external stakeholders, ensuring the seamless management of spare parts orders from enquiry through to delivery. You will be responsible for processing quotations and orders, coordinating procurement and logistics activities, managing communications, and delivering an outstanding experience throughout the order fulfilment process. Key Responsibilities:

- Respond to enquiries regarding spare parts, pricing, availability, and delivery requirements.
- Prepare accurate quotations and process orders efficiently.
- Manage end to end spare parts order fulfilment, including procurement, supplier follow up, logistics coordination, and customer communication.
- Coordinate both local and international spare parts orders.
- Raise purchase orders and liaise with suppliers to ensure timely delivery.
- Prepare invoices and process supplier invoices.
- Coordinate import/export activities, including freight bookings,



shipment tracking, and customs documentation.
- Maintain accurate customer and order records within SAP and Microsoft 365 systems.
- Monitor order progress and proactively communicate updates accordingly.
- Investigate and resolve all service related issues.
- Generate reports via SAP and analyse operational data to support business performance.

About You:

- Certificate IV, Diploma, or equivalent qualification in Business Administration, Supply Chain, Logistics, or a related discipline.
- Minimum 3 years' experience in spare parts administration, customer support or order management.
- Understanding of AI enabled workplace tools such as Microsoft Copilot is desirable.
- Industry experience in logistics and/or inventory is desirable.
- Proven experience managing quotations, purchase orders and logistic processes.
- Experience working with ERP systems, SAP is desirable and proficiency in Microsoft 365 is essential.
- Proven ability to manage multiple priorities while maintaining a high level of accuracy and attention to detail.
- Outstanding customer focus and relationship building capability.
- Excellent written and verbal communication skills coupled with strong organisational and planning abilities.
- Strong problem solving and analytical skills.
