At Camp Cooby and Cooby Reflections, we believe people are made to connect—to each other and to nature.

We're looking for an organised, enthusiastic and people-focused Events & Guest Experience Coordinator to help deliver exceptional experiences across school camps, weddings, corporate retreats, international tour groups, accommodation and special events.

No two days are the same. One day you'll be conducting a wedding site tour, the next coordinating an international group, welcoming corporate guests, or helping a school create an unforgettable outdoor education experience.

About the Role

You'll manage the guest journey from the first enquiry through to the final farewell, ensuring every experience runs smoothly and every guest feels genuinely welcomed.

Key Responsibilities

- Manage enquiries, prepare quotes, convert bookings, and maximise rebooking rates
- Coordinate camps, weddings, retreats, accommodation and special events
- Conduct venue tours and client meetings
- Liaise with guests, suppliers and internal teams to ensure seamless event delivery
- Actively manage weddings and events to ensure an exceptional guest experience
- Coordinate accommodation bookings and Airbnb management
- Manage event schedules using V360,



Trello and TSheets
- Collect photos and assist with social media and marketing content
- Build strong client relationships that encourage repeat business and referrals

About You

We're looking for someone who:

- Has outstanding customer service and communication skills
- Is highly organised with excellent attention to detail
- Enjoys working with people and building genuine relationships
- Can confidently manage multiple events and priorities
- Is proactive and enjoys working independently
- Thrives in a fast-paced hospitality environment
- Is comfortable working flexible hours, including weekends and evenings
- Has experience in events, hospitality, tourism, administration or customer service
