Supply Chain & Operations Manager

The Supply Chain & Operations Manager owns the end-to-end movement of XPAK product from the point it leaves our overseas suppliers through to delivery at the customer's door. This spans overseas order and shipment coordination, ocean freight and import documentation, third-party logistics (3PL) warehouse management across Australia, inventory accuracy and stock policy, and outbound domestic freight. The role is the central point of accountability for product flow and continuity of supply, working closely with Sales, Internal Processing, and the General Manager to ensure the right stock is in the right place at the right cost.

This role does not carry responsibility for high-level commercial negotiation with overseas suppliers (pricing, contract terms, and strategic supplier relationships remain with the General Manager), but does own the day-to-day operational relationship, order execution, and logistics coordination with those suppliers.

Key Responsibilities

Overseas Supplier & Import Coordination

• Manage day-to-day operational coordination with overseas suppliers on order confirmations, production timing, and shipment scheduling.

• Oversee product while on the water, including vessel tracking, ETA management, and proactive escalation of delays.

• Own the accuracy and timeliness of import documentation (commercial invoices, packing lists, bills of lading, certificates of origin, customs and quarantine requirements), working with the overseas assistant and customs brokers as needed.

• Direct and support a Philippines-based (or similar) overseas logistics assistant responsible for day-to-day shipping paperwork and supplier follow-up.

• Flag supplier performance, quality, or delivery issues to the General Manager to inform higher-level supplier negotiations and reviews.

3PL Warehouse Management





• Hold technical and operational responsibility for XPAK product held in third-party logistics warehouses across Australia — condition, storage standards, and handling.

• Manage inbound receipting from overseas and outbound dispatch processes with each 3PL site.

• Maintain sensible, cost-effective stock levels across all warehouse locations, balancing service levels against holding costs and container/shipping economics.

• Utilise and maintain the stock management system as the source of truth for inventory across all sites — accuracy, cycle counts, and discrepancy resolution.

• Act as the primary point of contact with 3PL providers, managing day-to-day performance, service standards, and issue resolution.

Domestic & Outbound Freight

• Manage the freight task from 3PL warehouses to customers, including carrier selection, booking, and performance.

• Drive continuous improvement in domestic freight efficiency and cost, identifying opportunities to streamline routes, consolidate loads, and reduce cost-to-serve.

• Monitor freight KPIs (on-time delivery, damage rates, cost per unit/pallet) and report on trends.

Internal Coordination & Communication

• Act as the key liaison between the warehouse network, internal processing team, and sales team to ensure stock availability supports sales activity and customer commitments.

• Provide visibility to Sales and Internal Processing on stock positions, incoming shipments, and expected delays.

• Work with the Internal Processing team to ensure orders are being fulfilled efficiently from the correct location.

• Report directly to the General Manager on supply chain performance, risks, stock positions, and improvement initiatives.

Continuous Improvement

• Identify and implement improvements across the end-to-end supply chain to reduce cost, reduce lead time, and improve reliability.

• Contribute supply chain and logistics input into broader business planning, including the machinery and R&D; pillar and FY2027 strategic initiatives as relevant.
