About Us & Our Purpose

Since 2001 Abbott Native Title Trustees (Abbotts) has grown and evolved to include various trustee roles across Western Australia including Kimberley, Pilbara, Goldfields and Murchison regions. It now offers its services Australia wide.

It has established an experienced team based in Perth which works closely with all of its trusts, regularly travelling to meet with the representatives of each group to ensure we provide a professional, transparent and fair service.

Through Paperbark Corporation Services it also provides a range of services to Aboriginal companies (ASIC) and corporations (ORIC) including administration, bookkeeping and governance support. It also assists these entities to liaise and do business with mining companies, local government and state government agencies by providing logistical and facilitation services for meetings and surveys.

The Role

We are seeking a highly organised and relationship-focused Assistant Client Manager to support the administration of Aboriginal trusts and corporations across Western Australia. This role combines governance, compliance, stakeholder engagement, financial administration and project coordination in a unique and rewarding environment.

Reporting to the Senior Client Manager, you will play a vital role in supporting Aboriginal and Torres Strait Islander clients through trust and corporation administration, compliance activities, meeting coordination, financial administration and stakeholder relationship management.

Your days will be dynamic,



involving face-to-face engagement with clients, providing practical support and guidance, coordinating meetings and follow-up actions, improving processes, and collaborating with clients, team members, consultants and key stakeholders to achieve positive outcomes.

Key Responsibilities

- Trust and corporation administration, including maintaining beneficiary, member, action, resolution and compliance registers, ensuring accuracy and compliance with deeds, constitutions, legislation and organisational requirements.
- Coordinate meeting outcomes, monitor actions and compliance matters, and support reporting on implementation, risks, stakeholder relationships and administration priorities.
- Assist with financial administration, including budgets, cash flow tracking, audit preparation, payment reviews and liaison with investment, property, legal and other specialist advisers.
- Prepare meeting notices, agendas, papers, presentations and minutes, while maintaining clear communication between clients, consultants, stakeholders and team members.
- Build strong client relationships by understanding client needs, responding to enquiries and complaints, and supporting practical programs, projects and solutions aligned with client priorities.
- Coordinate meetings and heritage surveys, including travel, logistics, third-party liaison, invoicing, payment approvals and support for regional, remote and interstate activities.
- Maintain accurate and secure records, including deeds, constitutions, policies, procedures, agreements and other governance documentation.
- Contribute to a positive team culture through collaboration, process improvement initiatives,



adherence to organisational values and policies, and a commitment to workplace safety and environmental responsibility.

About You

You are a highly organised and relationship-focused professional who enjoys building strong connections with a diverse range of stakeholders. With excellent communication skills, both verbal and written, you can confidently engage with clients, suppliers and community partners while maintaining positive and productive relationships.

You have strong analytical skills and a keen eye for detail, enabling you to accurately interpret documents, maintain records and ensure high standards of compliance and administration. You are proactive, adaptable and able to work independently, taking initiative and consistently following through on commitments.

You are confident using technology and possess excellent computer skills, including proficiency in Microsoft Office applications such as Word, Excel and Outlook. You are also comfortable identifying and implementing process improvements that enhance efficiency and support effective stakeholder and information management.

Desirable Experience

- Knowledge of charitable trusts and/or Aboriginal Corporations.
- Experience working with Aboriginal and Torres Strait Islander peoples and communities.
- Experience supporting governance, compliance or administrative functions.
- Experience identifying and implementing process improvements and administrative efficiencies.
