About the role
We are seeking a Business Operations Administrator to join our team on a full-time basis at our Neerabup office. This is a strategic administrative position that plays a vital role in supporting the smooth and productive operation of our business. You will be responsible for coordinating administrative functions, managing office operations, and providing essential support to our management team and staff. This role is fundamental to ensuring that our operations run seamlessly and that our team can focus on delivering exceptional fire protection services to our clients.
Key responsibilities
- Support the Operations team with day‑to‑day administration and coordination
- Managing day-to-day office operations, including maintenance of facilities, equipment, and supplies
- Coordinating scheduling and booking site attendance for the technicians
- Processing service documentation, including invoices, service reports and quotations ensuring these are distruputed to our clients in a timely manner to exceed our KPI's.
- Answering incoming calls and emails, providing professional customer service to internal and external stakeholders
- Liaising with vendors, contractors, and service providers to ensure timely and cost-effective service delivery
- Assisting with financial administration tasks such as accounts receivable and reconciliation
- Prioritise tasks effectively,
manage conflicting deadlines and escalate issues when required.
What we're looking for
- Proven experience working in an office management or business administration role, ideally within a service-based industry
- Strong organisational and time management skills, with the ability to prioritise multiple tasks effectively
- Excellent written and verbal communication skills, with professional demeanour when interacting with staff and clients
- Proficiency in Microsoft Office applications (Word, Excel, Outlook)
- Ability to work independently and as part of a collaborative team
- Attention to detail and commitment to accuracy in all administrative tasks
- Flexibility and adaptability to changing business requirements and priorities
- Professional discretion and ability to handle confidential information appropriately
- Experience with accounts receivable, record-keeping, or financial administration is desirable
- Knowledge of or interest in the fire safety industry is advantageous
