Noosa Basics is an established and growing Australian personal care company, creating simple and effective products from our headquarters and manufacturing facility in Noosaville.
We are looking for an exceptionally capable, organised and technologically confidentExecutive Operations Assistantto work closely with our founder and help turn ideas, decisions and priorities into completed work.
This is not a traditional receptionist or basic administrative role.
We are looking for someone who can be given a task, understand the desired outcome, research the options, organise the information and move the project forward with minimal supervision.
You may be asked to compare suppliers, improve a spreadsheet, prepare a report, research a recent system, document a company process, follow up a project or help coordinate a new business initiative.
The ideal person will enjoy variety, solving problems and making businesses run more smoothly.
The role
Working directly with the founder and management team, you will help coordinate projects, organise information, improve systems and ensure important tasks are completed.
Your responsibilities will include:
Managing and following up projects, priorities and action items
Turning verbal instructions and ideas into clear tasks and completed outcomes
Creating and improving Excel spreadsheets, reports, forecasts and comparisons
Analysing business information and presenting it clearly
Researching suppliers, software, systems and business opportunities
Preparing documents, presentations, reports and meeting notes
Coordinating communication with employees, contractors and suppliers
Organising digital files, company information and internal documentation
Creating process documents, checklists, manuals and standard operating procedures
Assisting with Shopify, inventory, accounting and business software
Helping management track deadlines, commitments and outstanding tasks
Identifying opportunities to improve efficiency and reduce unnecessary work
About you
You are highly capable, resourceful and comfortable taking responsibility for an outcome.
You do not need every step explained to you.
You are confident researching unfamiliar subjects, asking intelligent questions and presenting practical solutions.
You will ideally have:
Advanced Microsoft Excel and software skills
Strong analytical and problem-solving ability
Excellent written and verbal communication
Exceptional organisation and attention to detail
Confidence using business software and learning new platforms
The ability to manage several projects and priorities at once
Strong follow-through and a sense of personal responsibility
Experience preparing reports, spreadsheets, comparisons or business documentation
The confidence to work directly with a founder in a fast-moving business
A practical, calm and solutions-focused approach
Experience with platforms such as Shopify, Xero, inventory management software, CRM systems, automation tools or project management software would be highly regarded.
Experience in manufacturing, consumer products, e-commerce or a growing small-to-medium business would also be valuable, but is not essential.
Hours
This is a permanent part-time position working:
Monday to Thursday, during school hours, finishing by approximately 3 pm.
The exact starting time can be discussed with the successful applicant.
The role is primarily office-based at our Noosaville headquarters.
