Hotel Etico is looking for an organised, proactive and values-driven Administration Officer to support the smooth running of our academies and broader organisational operations.
This role is ideal for someone who enjoys creating order, coordinating moving parts, and providing responsive support to staff, trainees, families and external stakeholders.
About us
Hotel Etico Australia was established in Mount Victoria in **** based on a proven international model.
Hotel Etico provides paid employment and independent living skills training to young people with disabilities through its Academies of Independence, currently in Leura and Canberra.
We combine commercial hospitality operations with purpose-driven impact, creating opportunities for trainees to build skills, confidence and independence while challenging community perceptions about disability and employment.
About the role
The Administration Officer plays a central support coordination role across trainee recruitment, intake and onboarding, while also supporting day-to-day administration, records management, scheduling and cross-team coordination.
You will help ensure applicants, trainees, families, carers, schools, referrers and colleagues experience Hotel Etico as professional, welcoming and well organised.
Key responsibilities
Coordinate trainee recruitment, intake and onboarding administration, helping deliver a professional and welcoming experience for applicants and their families
Manage enquiries from prospective trainees, families, carers, schools and referrers, ensuring information is accurately recorded and followed up
Coordinate interviews, information sessions, tours, assessments and onboarding activities with relevant internal teams
Prepare, collect, track and maintain application forms, supporting documents, consent forms and onboarding records
Maintain accurate applicant and trainee records, communication logs,
files and administrative systems
Provide administrative support across scheduling, documentation, data entry, filing, scanning and routine coordination tasks
Support the Leadership Team with staff recruitment, onboarding and offboarding administration
Provide responsive and professional support to trainees, families, carers, staff and external stakeholders
Identify and escalate delays, process issues or administrative gaps, while contributing to continuous improvement
About you
You are highly organised, detail-oriented and comfortable managing multiple priorities.
You communicate clearly, work well across teams, and bring a calm, qualified approach to supporting people and processes.
You are confident using Microsoft 365 and administrative systems, and you care about accuracy, confidentiality and good service.
Experience in administration or office support, ideally in disability, education, training, hospitality or community services
Experience supporting recruitment, intake, onboarding, admissions or stakeholder coordination processes
Strong organisational skills and attention to detail
Experience maintaining accurate records, databases, files and systems with confidentiality
Well-developed written and verbal communication skills
Strong interpersonal skills and the ability to work collaboratively with a wide range of stakeholders
Confidence coordinating schedules, meetings, documents and routine administrative processes
