Job Overview:
We are seeking a dedicated and enthusiastic Client Services Administration Officer to work collaboratively with internal teams, clients, families and external stakeholders in delivering effective services in accordance with client goals, preferences, and funding arrangements.
Reporting to Manager – Operations Support, the Administration Officer is primarily responsible for providing accurate, timely and coordinated administrative support across client services, compliance processes and operational activities.
The role supports the effective coordination of client onboarding, client journey documentation, restrictive practice administration, stakeholder communication, meeting coordination, record management and reporting requirements.

including the ability to prepare clear correspondence, meeting minutes, reports and documentation.
Ability to prioritise, multitask, organise and manage deadlines with proven time management skills
Strong attention to detail with documentation and administrative tasks
Ability to work independently with good initiative and as part of a team collaboratively
Sound judgement, discretion and confidentiality when handling sensitive client, operational and compliance information.
Strong information technology skills, including confidence using Microsoft Office programs, client management systems, spreadsheets, databases and shared document platforms.
Ability to support administrative processes relating to Restrictive Practice, Complex Needs, client reviews, compliance tracking, audit preparation and continuous improvement activities.
Key Responsibilities of this role include but not limited to
Provide administrative support to the Manager Operations Support and Operations Team to support effective service delivery.
Support client onboarding and ongoing client administration, including coordinating documentation and key service milestones.
Maintain accurate client records, registers, trackers, and documentation to support compliance and operational requirements.
Coordinate and monitor client-related documentation, reports, agreements, and correspondence.
Liaise with internal and external stakeholders regarding client services, documentation, and compliance requirements.
Support the administration and monitoring of Restrictive Practice and compliance processes.




Maintain compliance registers and tracking systems relating to client services, restrictive practices, and complex support needs.
Monitor review dates, reporting requirements, and compliance actions, escalating issues as required.
Assist with operational reporting, audits, quality assurance, and continuous improvement activities.
Maintain accurate client information across organisational systems.
Coordinate meetings, prepare documentation, and record meeting outcomes.
Contribute to the improvement of administrative systems, processes, and templates.
Comply with Work Health and Safety requirements and undertake other duties as directed.
To be successful in this position you will have -
Certificate III or Certificate IV in Business Administration, Community Services, Disability, or a related field (desirable).
Relevant experience in administration, client services, service coordination, or operational support, preferably within disability, health, aged care, or community services.
Demonstrated experience in administrative and secretariat support in a fast-paced
environment
Experience with managing documentation, registers, trackers, and records accurately and efficiently.
