Initially commencing as a temporary assignment, this role offers the opportunity to become permanent for the right person.

The Opportunity:
Reporting to theDirector and Operations Management Team, you'll play an integral role in supporting the day-to-day operations of the business.
This is a true all-rounder position where you'll become the central administration hub, supporting the leadership team across office administration, HR administration, compliance coordination and day-to-day business operations.
You'll be the friendly face welcoming clients to the office, the first point of contact for incoming enquiries, and the person helping keep everything organised behind the scenes.
From coordinating employee onboarding, maintaining compliance records and supporting employees working across project sites, no two days will be the same.
We're looking for someone who enjoys being part of a hardworking team, is happy to roll up their sleeves and takes pride in making things happen.
Key Responsibilities:
Office Administration & Business Support
Provide administration support to the Director and Operations Management Team
Manage front-of-house reception and provide exceptional customer service
Respond to incoming phone and email enquiries
Coordinate meetings, calendars and meeting rooms
Take meeting minutes and distribute action items
Assist with the administration of tender documentation
Manage office supplies and general office administration
Support business improvement initiatives and special projects
HR Administration & Compliance
Prepare employment and onboarding documentation
Maintain employee personnel files and HR records
Coordinate employee licences, tickets, qualifications and medical requirements
Ensure compliance documentation is uploaded and maintained within company systems
Assist with maintaining HR compliance and workforce records
Provide administrative support across HR activities as required
Operations & Workforce Support
Act as a key point of contact between the office and employees working across project sites
Support communication with FIFO and field-based employees
Assist with workforce administration and mobilisation activities
Coordinate travel, accommodation and site requirements where required
Support the Operations Team with day-to-day administrative requirements
Systems & Continuous Improvement
Maintain electronic filing systems and document control
Utilise Microsoft Office and business software efficiently
Embrace AI and technology to improve administrative processes
Identify opportunities to improve systems and office efficiencies
About You
We're looking for someone who genuinely enjoys being the person who keeps everything running smoothly.You're organised, proactive and professional, with the ability to manage multiple priorities while maintaining exceptional attention to detail.
You're equally comfortable welcoming clients at reception as you are supporting HR administration, coordinating compliance or assisting the leadership team.
You enjoy working in a fast-paced environment, communicate confidently with people at all levels and are happy to jump in wherever needed to support the wider team.
Ideally you'll have:
Previous experience in office administration, office coordination or HR administration
Strong organisational and time management skills
Experience managing compliance documentation and record keeping
Confidence preparing business documentation and meeting minutes
Excellent communication and customer service skills
Professional presentation and a friendly, approachable manner
Strong computer skills across Microsoft Office and business software
Confidence learning new systems and embracing AI technology
High attention to detail and excellent problem-solving skills
A positive attitude, initiative and willingness to help wherever required
