We're looking for a highly capable Executive Assistant & Office Manager to support our Chief Operating Officer and lead the day-to-day operations of our Melbourne Corporate Office. This is more than a traditional Executive Assistant role - it's an opportunity to become a trusted partner to a senior executive, helping shape priorities, enable decision-making and drive organisational effectiveness across a complex and dynamic business.
You'll work at the heart of our organisation, connecting people, priorities and processes while ensuring the seamless delivery of executive, operational and office activities. Just as importantly, you'll help shape the culture and energy of our Melbourne Corporate Office, creating a welcoming, connected and high-performing environment where people feel supported to do their best work. Joining our collaborative Executive Assistant network, you'll play a key role in supporting leaders, fostering strong stakeholder relationships and contributing to the success of our ASPAC business.
As an Executive Assistant & Office Manager in the ASPAC team,
you'll make a positive impact by:
Managing complex executive calendars, travel arrangements, correspondence and expenses for the COO
Championing a connected and positive workplace culture by bringing energy, initiative and a people-first approach to the Melbourne Corporate Office
Coordinating executive reporting, presentations, governance papers and business communications
Facilitating stakeholder engagement activities and supporting high-profile meetings and events
Overseeing office operations, facilities, procurement and contractor management to ensure a seamless workplace experience
Supporting onboarding, offboarding, team events and strategic business initiatives across the organisation
Managing competing priorities with professionalism, discretion and a strong customer-focused mindset

You could be a great fit if you have:
Significant experience providing executive support to senior leaders or C-suite executives
Proven success managing complex priorities within a fast-paced corporate environment
Demonstrated experience preparing executive reports, presentations, board papers and governance documentation
Exceptional organisational, planning and stakeholder engagement skills
Advanced Microsoft Office capabilities, particularly across Word, PowerPoint and Excel
Strong emotional intelligence, sound judgement and the ability to manage confidential information with absolute discretion
