Are you an organised, detail-oriented medical administrator looking for a rewarding full-time opportunity within a respected private surgical practice? Our client, a well-established specialist clinic located in Spring Hill, is seeking a full-time permanent Medical Receptionist/Secretary to join their friendly and professional administration team.
In this role, you will be an integral part of the clinic's daily operations, providing high-quality administrative support to ensure a smooth patient experience. Your responsibilities will include managing patient correspondence, proofreading and formatting medical reports and letters, coordinating appointments, supporting front desk operations, and assisting the wider clinical team in a busy and professional environment.
This is a full time permanent position working ***** hours per week, with 1-2 early clinic starts required each week. This is a fantastic opportunity to become a valued member of a supportive medical practice team while contributing to the delivery of exceptional patient care.
Key duties and responsibilities will include (but not be limited to):
Assist with patient clinics by preparing patient charts ahead of consultations, ensuring relevant test results are received, reviewed and accurately filed.
Welcome and register patients, manage arrivals for consultations, and provide professional assistance with general patient enquiries.
Support the front desk team by managing overflow telephone enquiries, coordinating patient bookings and rescheduling appointments as required.
Monitor, process,



and action incoming patient correspondence in a timely and accurate manner.
Manage medical correspondence using AI-supported digital dictation platforms, including proofreading letters and reports, formatting patient documents, and coordinating the preparation and distribution of incoming and outgoing correspondence.
Provide high-level administrative support to the Practice Manager and Surgeon, contributing to the efficient day-to-day operation of the practice.
Maintain a professional and patient-focused approach while working collaboratively with the wider medical administration team.
In addition to the key duties and responsibilities, Candidates must be able to demonstrate:
A strong desire to provide a high level of service to the patients of the practice
Immaculate personal presentation
An exemplary telephone manner and a compassionate demeanour
Have at least 2 years previous experience working within a specialist practice
Must be a team player with exceptional communication and interpersonal skills
Demonstrate you are proactive with strong time management and organisational skills along with the ability to prioritise your workload efficiently.
Must be able to multi skill and work under pressure
Fast and accurate typing capabilities as well as the ability to proof read and format letters
High level of competency in Microsoft Word and Outlook and digital dictation devices (Phillips and/or Olympus), prefer previous experience with Genie software or alike
Remuneration
A market-competitive salary package of $80,******,000 per annum plus superannuation will be offered to the successful candidate, based on experience and suitability. On-site car parking is also available.
