This isn't an administration role. We're looking for someone who gets excited when the phone rings with a recent enquiry, enjoys meeting people, loves closing a sale, and takes pride in delivering unforgettable events from start to finish.

Has previous experience in hospitality reservations, events or functions.

Has outstanding written and verbal communication skills.
Can confidently manage multiple events at once.
Remains calm under pressure.
Is flexible to work evenings and weekends when required.
Has experience with reservation systems such as SevenRooms, OpenTable, OrderMate or similar (preferred but not essential).
About the Role
Reporting directly to the Venue Manager and General Manager, you'll oversee all reservations and functions from enquiry through to execution,



ensuring every guest receives outstanding service while maximising venue revenue.
You'll become the face of functions at Penny Young, building strong relationships with clients, creating seamless experiences, and working closely with our operations team to deliver exceptional events.
Take Ownership Of 4 Key Areas
Reservations
Manage all reservation enquiries across phone, email and online platforms.
Optimise seating plans to maximise revenue and guest experience.
Maintain accurate booking systems and guest databases.
Coordinate large group bookings and special requests.
Work closely with floor managers to ensure smooth daily operations.
Functions & Events
Respond to all function enquiries promptly.
Conduct venue inspections with prospective clients.
Prepare quotes, proposals and event run sheets.
Convert enquiries into confirmed bookings.
Coordinate weddings, birthdays, corporate functions and special events.
Liaise with chefs, bar managers and operations to ensure flawless execution.
Be the key contact for clients before, during and after their event.
Sales & Business Development
Proactively grow functions revenue.
Build relationships with local businesses and the community.
Follow up warm leads and past clients.
Identify opportunities to increase repeat business.
Help create promotions and packages that drive bookings.
Administration
Maintain accurate event calendars and function documentation.
Process deposits, final payments and confirmations.
Prepare weekly reports on enquiries, conversions and upcoming events.
Ensure all event information is communicated clearly to the operations team.
